Hello all, GitHub: https://github.com/captainqwerty/AutomatedOutlookSignature The above GitHub link is a modified version of a script I wrote to automate the creation of users Outlook signatures at work using details from their Active Directory account and as these details are checked at each logon it is dynamic towards changes such as job title. I have made the script a little more complex than the version we use in our environment. I have more checks for values in active directory in this version. It checks for each address element (PoBox, Street, zip code etc.), mobile, telephone, home phone (which we use for direct dial numbers), website and email, if any of these are blank in active directory the script will simply not add them to the HTML signature output so it is pretty flexible for different environments. Rather than heavily comment the script I have decided to cover it in detail in the readme, which I am in the process of writing so this will update over the next few days as I keep adding details to it but feel free to jump in and take a look and start using it 😊 If you have any questions and/or would like help altering it more for your own environment please feel free to ask in here / PM me. I have wrote the basics of the ReadMe on GitHub however I will be covering the script in more detail on there over the next few days. Here is an example of a generated email signature: Currently only tested on Outlook 2016 and Outlook 2019/O365 as that is what is in our environment, please feel free to modify the registry keys in the script to get it working on older versions of Outlook and I will happily amend the script with checks to work with more version 😊 I recommend setting the script in Group Policy as a PowerShell Logon Script. The main caveat is the users needs to have opened Outlook at least once before the script will work. So usually it goes, user logs in, opens Outlook, logs off and back on again and from then on, the signature will be displayed in all new emails and replies and if active directory details are changed such as job title, name (for example getting married) or work address etc. Once changed in AD they will update next logon. To modify this script, you only need basic PowerShell and HTML knowledge although I am more than happy to help you get the HTML to layout a signature how you desire for your own use, so please feel free to ask in thread and PM me. For those of you that are comfortable with GitHub please feel free to raise issues if you see any or suggest improvements. The reason I decided to use a script rather than Mail-Flow rules in Exchange is the undesired affects that occurred when using Mail-Flow rules: our users didn’t like the fact they couldn’t see their signature while writing emails; it was near impossible to get the signature to be applied to reply emails without just being pinned to the bottom of the thread and; it would repeat the signature at the bottom of the email over and over again and if you used a rule to detect it and not put it on again you only got the one signature at the very bottom of the message thread and not in replies. I personally found that there was not a great deal of information out there on how to control users Outlook signatures and products out there can be pricey especially for smaller businesses so I after I got this working I figured I would to share it you you guys and gals! I hope someone finds it useful Thanks everyone, QwertyMash

They are complaining that their view of Outlook has changed. I am able to sort it by connecting to them remotely and clicking View/Reading pane and then selecting 'Right' I am guessing that it is a recent Windows update as nothing I have done would be affecting Outlook this way.

We moved are staff and student users to O365 over the last year. Students are using mandatory profiles and access emails via OWA we also map OneDrive using a script. Staff are using roaming profiles and access emails with Outlook 2013 currently no mapping for them. I'm looking to move Staff to mandatory profiles but i want to keep Outlook 2013/16. I was planning to redirect the APPDATA folder to a hidden share on a file server as i can't see another way to push staff to mandatory profiles but allowing them to keep the mail profile or extra outlook settings. Was wondering how over admins are managing O365 within a college or school? Are end result is to completely remove network shares and have everything pushing to O365 or Sharepoint Online. Cheers J

Hi all, we had an issue with Office loading incorrectly on one of our machines our receptionist uses. I tried everything you could try and ended up rebuilding the machine as it was clearly not well. This fixed the issue with Office loading incorrectly but now after we logged the same person back into Office they now don't have the option to share there calendar to anyone else even though they could before the rebuild. Things that I have checked and tried: Right clicked on the callender in outlook and checked permissions Signed into office administrator account and checked the permissions on the calender email address Signed into the calender account and did the same All of these things where or are now correct and I still have greyed out options for share calender, publish online and calender permissions in outlook for our receptionist. Any ideas? Thanks

I think I know the answer here, but I can't be the only one who has come up against this. I want to close off all the old Year 13 accounts (bit overdue, tbh). We always disable accounts because it costs us nothing to keep them on hand. Files have been taken off the file server onto BluRay, and now I need to reclaim their Office 365 licences. Before I do that, and their mailboxes get deleted, I'd like to grab the PST to archive them, just in case. Storage is cheap and I'd rather have the data than not. Is there any way in Office 365 of doing this in bulk, or do I really have to add each mailbox to my Outlook and PST them one by one? New-MailboxExportRequest looks to be Exchange 2013 only, and whilst MessageOps can apparently do it it costs $1500pa for 1001-5000 mailboxes, and their free offer ("set us as your partner") doesn't apply to free education plans. So (a) does anyone else know how to do this without spending silly money? If I have to spend a few quid I'll live with it, but the pricing above is madness. (b) does anyone else even bother? Am I just being paranoid/overprepared?

This is an odd one, one member of staffs email messages are not showing up on anothers outlook 2013 or online Outlook on 365. I've tried focused inbox, resetting the view, checked for odd rules. and I'm out of ideas. if we perform a search for the sender user on the inbox of the receiver and the emails appear, otherwise they do not? Unread or read.... The default is all, they do not appear. This is the same on the online office 365 outlook as well... to be clear, the emails are arriving, a search shows them, but they do not show normally. Ideas?

Hi, Got a bit a issue which I wanted to get some advice on. First some background information. I work in a school as a IT Tech and in previous years the AD Accounts (as well as email address) have taken the form of first letter of first name and first letter of second name "@ourschool.org.uk". Example if there was a teacher called John Smith his AD account would be [email protected]. I have been asked to recreate all the staff accounts (for a variety of reasons!) in the format of [email protected]. Example John Smith would now be [email protected]. Thats fine as I have created a nice powershell script to recreate the AD Accounts. My question is, is there a way I can migrate their old mailbox (i.e. [email protected]) to the new one (i.e. [email protected]) with some sort of powershell script? Or does someone know of a good third party tool? Let me know if that makes sense. Thanks!

Who thought this was a good idea! I've scrambled to disable this as users are just clicking it and loosing folders etc. Why would I want a webapp instead of the full desktop software! Thankfully after some new ADMX templates in the policy store you can stop it being offered, you'll also need a login script to uninstall it for curious users! what a pain, default in enterprise should be NO

How to import Outlook Calendar to Hotmail calendar
lionsl2005 posted a topic in How do you do....it?
Hi All, Is there an easy way to import Microsoft outlook calendar to Hotmail calendar? Thanks in advance -
Well, this is a Friday afternoon weird one. I have an email account/user here who's Sent Items in Outlook is showing various emails sent under a heading of "Next Week" - in the same way it would normally have "Today", "Yesterday". They won't settle for my explanation that Outlook is being extra efficient and doing next weeks work for them... I've checked all the obvious things - Exchange server date/time is correct, users laptop date/time is correct, emails showing as Next Week have definitely been sent and have been confirmed received by the recipients. Any ideas? I'm stumped!

I am in the final stages of testing a migration of a primary schools Office suite from Navaho to Window Server 2008R2, Exchange 2010, Outlook 2007. At the moment, there is very little reliance on IT Security/auditing so there is significant use of shared role based accounts rather than individual logins - I am planning that this will change! As a result, a number of critical external email accounts are role based. For some, bursar, headmaster etc, there is a 1:1 mapping with a person, so its not too much of an issue to use the alias, but for for others, office, sports etc, are roles shared by a number of individuals. Even for individual roles, there will be some sharing of mailbox whilst individuals are for instance absent. I am looking for best practice on how to organise this. Ideally I would like each individual to have their own personal email address, and, based on roles (I have security groups set up for this), access to a role based email address. This would also apply to bursar and headmaster etc where the individual will have both a personal email address and their role. This is my first experience of exchange server. Got a big thick book and internet but nothing specific. Whilst I realise that mailboxes can be shared within Outlook, this is not an ideal solution since they need to be set-up within Outlook rather than managed centrally within exchange. I have done some reading and it has been suggested that room or resource based mailboxes may be suitable. I have set a test one of these up to cover office but have found a few issues: Only able to send email from users account, not room account; room shows up as a room in calendar - would like to disable this. In addition, being unable to test receipt of emails on my test network, I am not 100% sure whether a room or resource mailbox able to receive external emails or not. Many thanks Ian

Quick question - has anyone ever managed to change the periods in the Outlook Calander to match their school periods and remove the hourly segments? I have been told both that it is possible and that it is not possible, but I have never found anyone who has followed through with it. It would be brilliant if it can be done so I can make an old booking program obsolete and use resources within Exchange.

Hi everyone Some of our admin staff use Outlook calendars to keep track of site bookings (such as use of drama rooms, evening concerts, etc). It would be very useful to be able to set recurring appointments up (e.g. timetabled lessons) so that they repeat but skip weeks such as half term. With a two week timetable, we can set 'repeat every two weeks', but this gets skewed by one week when half term occurs. Is there any way of setting an exclusion on the recurrence, such that it will 'miss out' one (or more) week/s? Thanks! Stephen

Hi, I've setup about 12 resource calendars in exchange 2007 and all have been setup as default i haven't made an extra changes to them. When trying to "Open a shared Calendar" in outlook some of them allow me to open them and add appointments (which i dont want to do) and some ask me to "Ask permission" (which i do want it to do). I've then logged onto that mailbox account and fired up outlook and changed the permissions on the calendar to Default "Reviewer" and HR to "Author". Although making this change people can still add diary events without permission. can someone divert me in the right direction? Thank you kindly ohh and Merry Christmas.!!!

I'm trying to set up Outlook 2010 with Google Apps IMAP servers using .prf files. I'm intending to put them in HKCU\RunOnce. While testing, when I launch Outlook with the /importprf switch, it seems to configure the account (i.e. no prompt) but then it says "Send/Receive Error" in the status-bar. As there is no way to include a password in the .prf configuration file, it should be prompting me at this point. Hitting send and receive again or starting Outlook normally also don't prompt for the password. When I go into Account Settings/Change Account, the password box is blank and the Remember Password check-box is ticked. If I enter the password here, everything works fine. In order to try force it to prompt for the password, in Group Policy, I enabled "Disable 'Remember Password' for Internet e-mail accounts" and "Prevent saving credentials for Basic Authentication policy". This resulted in the password box and Remember Password check-box being greyed out, but when setting up the profile from scratch there was still no change. The .prf file was created using the Office Customization Tool so it should be ok! I also tested this on two different Outlook 2010 installations, one retail and one Professional. I've uploaded the .prf file for inspection. I need a setting somewhere to force a password prompt! Any ideas appreciated.

I've been playing with setting up Outlook as an Exchange client, not pop/imap with EMBC's exchange server, and sharing inboxes and calendars for the admin teams You can't view another user's calendar unless Delegate is enabled, which won't enable unless Error message when you try to add a delegate in Outlook 2003: "The Delegates settings were not saved correctly" is followed, which doesn't allow send-on-behalf-of. Apparently due to not having write permission to the AD global catalog. Having to enter accounts\username and the password every time you start Outlook is really annoying, seems to be a side effect of forcing Basic Authentication, any hack around this? Don't know if this is just a Microsoft problem, but is there any way to add a user to all email folders in a mailbox?, seems like I have to add them one at a time for them to appear automatically. Is there a way to connect phones etc to the exchange server?

I am hoping someone can help to clarify the following... We are running Outlook 2010, running off an Exchange 2003 server (not that I think this matters). Every year we carry out a CSV export of our main school calendar, which is in turn given to the company that manage our website to import into an online calendar. They haven't, up till now, had a facility to automatically sync between the two. However we noticed that there is a problem with calendar events that are marked as an "all day event". The event displays correctly in Outlook, but when exported to CSV, the start date and end dates are different. For example: OUTLOOK Bank Holiday, All day event, 27/05/13 CSV EXPORT Start Date - 27/05/13 Subject - Bank Holiday Start Time - 00:00:00 End Time - 00:00:00 End Date - 28/05/13 All day event - TRUE Am I right in assuming that the exported data is correct, and that actually there is no problem with the way Outlook/Exchange is handling the export? Interestingly I notice that when sending an appointment request via Outlook, the email contains similar information regarding the start date and end date (although once accepted, it appears correctly in the Outlook calendar). Is it therefore a problem with the way the website company is interpreting the data their end, when importing it into their own calendar system. Thanks!!

We're running Exchange 2010, SP2. We have a user running Outlook 2010 (like all our staff) who is prompted for a username and password on a very regular basis when using Outlook. It doesn't matter whether they enter this information or not, it doesn't actually stop them being able to send or recieve new emails, but it is incrediably annoying being prompted all the time for said info. We had similar behaviour in Outlook 2007 and for the most part the upgrade to 2010 solved the issue, expect for this user who is a new starter. Now, I've looked on Edugeek and the interwebs in general and despite there being simply hundreds of potential solutions, none seem to have any effect. Hoping someone might be able to help me out!

Internet came up dry so looked at it through procmon and found it was failing to find vcruntime140.dll All you need to do is install the latest Visual Studio Redistributables from here https://learn.microsoft.com/en-us/cpp/windows/latest-supported-vc-redist?view=msvc-170 Publishing here in case someone else encounters it.

Gahhh! Okay so here's the problem: We've set up exchange and got outlook web access and all that lovely stuff. We've made our own temporary certificate which of course makes IE scream 'ITS DANGEROUS JIM, DONT CLICK IT'. Of course, everyone must accept the certificate in order to get into their mail. Well, I've been tasked in getting a genuine certificate for the server to shut up this message, except I'm not entirely sure of: a) What certificate to get *exactly* b) How to go about installing it (although this is not the big kicker). Here's our incredibly fubar setup: Our Internal Mail Server uses a smart host at SWGfL for delivery. Our outfacing website (.org) REDIRECTS to a subdomain of our SWGfL website (.sch.uk) which is bound to the IP of our OWA webserver. Our email addresses all use the domain name of the outfacing website. RIGHT! So what certificate must we install onto our mail server in order to have it all work from our .org site? Do I use the domain name of the .org, or the .sch.uk or something else? *headache* Many thanks in advance.

We're having an issue with Office 365 where emails are going missing, however, if I search for the sender of the missing email the email is shown. This is happening in both the desktop version of Outlook 365 and webmail. Is anyone else having this issue?
