Hi Everyone,

 

I'm curious as to what procedure you have in place for any student teachers you have in your schools. What do they have access to?

 

You see they want: network logins to access the computer, Gsuite logins to access the shared files and access to the photocopier(we have papercut set up).

 

We're trying to find the most efficient solution for students to be integrated without them having access to areas they shouldn't as they're not our employees? is it to treat them as such and make them sign their souls over to us to use our systems? How do you do it?

We get them to sign the AUP and either they (for schools direct) of the Uni (for PGCE) have a contract with the school. Then they have mostly the same access as regular staff. The only thing we don't give them by default is external RD access.

We treat them as regular members of staff, they get the basic level of access to everything.

 

It would be nice to lock them down to just their own files, but realistically, they need access to all the same teaching resources as a regular member of staff. Anything personal like SEN records etc is already restricted from general view anyway.

AUP signed as all other staff who get network access have to do.

 

Their accounts are no different to permanent staff, but like others they are n't given access to our MIS.

Same here we get them to sign our policies and they are then they have the same access as a normal member of staff. I have worked in places where they are locked down to less access but it never works because the teaching staff assume that the PGCEs (other teaching qualifications are available) have the same access as them.

They get network access here which includes access to the photocopier system, as for MIS access they don't get that unless specifically requested and even then it is the most basic access we can provide.

Do you keep all student information within your MIS? Or are there a load of random documents about pupils on a school wide staff shared drive?

So a student teacher would be expected to know about SEN information and PP information to name but 2 of the groups they teach.

 

Those of you who restrict their access to key information like this do you know how they then receive this information - is it through their mentor/the class teacher?

 

Here they get the same level of access as any teacher.

Full access apart from SIMS. Which isn't so much security as it's a pain to set them up and manage them as they aren't an allocated teacher. Information from SIMS should be managed by their mentor.

How it works here:

 

PGCE - minimum teacher level of access but no login to SIMS. As they are only here for a few months they should be supervised at all times by the class teacher who is responsible for taking register and explaining PP \SEN.

SCITT - minimum teacher level of access. As they are here all year they will be allowed minimum required access to SIMS at the appropriate point.

Information Re. Pupils is all stored on the MIS, I've said there is no need for them to have access to the that as they have TA's in class that can complete registers surely?

We expect TAs to take registers for student and supply teachers.

What about Emails? we currently have a long term supply on site who has asked to be set up on our Emails, I may just be a little bit paranoid but I don't like the idea of it.

If they're long term supply and your school uses emails to communicate then their job is much harder if they're excluded...

Careful with that. If the policy is teachers take the register, TAs may well just share their MIS logins with the student teacher. They don't see it as access to MIS and student records, just the password to do registers.

 

We get it the other way round all the time, teachers go on PPA and leave a TA in charge, and instead of anyone requesting I give said TA a login, they'll just share theirs. You can tell them til you're blue in the face, but they'll keep on doing it.

 

Depending on your MIS, can you give the student a super restricted MIS account? Sadly I think most MIS just give blanket access to the student record when you give permissions to run attendance though.

Long term supply and agency you have to treat as a full member of staff really, otherwise it is very difficult for them to do their job. I share your unease but very difficult to get round in my experience.

Yeah that makes sense, but won't they have an work email through their agency, do you reckon it would be more beneficial to them to add that email to the mailing lists, rather than setting them up a new email address? I'm not opposed to setting them up at all. I just want it to be more efficient for us and for them.

I've yet to meet an agency teacher with their own professional email address. Arguably you'd be in even more trouble GDPR wise putting a third party email address onto your internal all staff distribution list.

Thanks for all your responses, it's appreciated. I think the best thing to do is to treat them as new members of staff - if there is way to limit access to certain fields that maybe they don't need, that needs to be looked at.
