Recently risen to 10GB on my nice new server. I then turned on de-dupe, and now it's all dropped so massively that I could easily half it. Keeps them happy anyway.

2GB Staff quota with 600 staff.

 

The issue is they stick big media files and seem to keep for an eternity just in case they need them, i.e. whole DVD's, photos in teramillion pixels for word documents/emails, personal music etc. etc.

 

It's obvious to us and yes our AUP has covered all the bases but who reads that

We don't limit storage usage for anyone here. We just keep an eye on usage, and analyse who is using what. If we see things that are filling our disks, we look into it and speak with whoever it belongs to to trim things down.

 

Largest staff user area is about 55GB, smallest less than 1GB.

 

We have de-duplication also, so we're saving about 45% on our general data array anyway.

 

I am in the middle of a "tidy", but I focus on the shared areas, where there exists nested "archive" folders with ancient stuff in. So far cut the data usage by an 8th on the general storage for shared data, by actually archiving things off to slow, inaccessible, disks.

We've been told not to delete anything and that staff can have as much space as they want. The head prefers we simply buy more drives for the fileservers and backup servers when we need to. Only using a bit under 7TB for general file storage at the moment so its not ridiculous yet.

 

The kids get 250MB + 100MB each year they are here

Just interested to know if any of the schools providing unlimited space for staff use offline files with staff laptops? If not what do you use instead?

It used to be limited to the size of the hard drive (so unlimited) but now all staff use webdav or remoteapp rather than offline files although we are going to set up work folders for the few people who need that option

I know laptop HDD's are large enough nowadays but do you have any synching issues when synching large amounts of data i.e. 20GB+? What is the most space used by a single member of staff using offline files?

Not had any issues with syncing since moving to Windows 7 (well, one user had a weird bug, but a re-image of the laptop cleared it and they now sync fine).

 

Largest user area is over 50GB in size, and it synchronised over just fine and continues to keep synchronised.

We used to have unlimited but have had teachers set to 6 GB since finding 5-6 with over that. Worked with them to remove personal pictures, resources etc. Most others are 100Mb to 4GB, so we have enough space. Also, we are not very good at getting them to put photos/video in a sensible place.

We also have offline sync, newer staff laptops have a SSD with enough space to sync 60gb offline, however some staff do tend to log into someone elses which causes issues, I just remind them of our laptop loan agreement and staff IT policies which prohibits this and remove the additional user profile.

 

If staff need more space we give them a bigger SSD, nice and fast, no issues with syncing.

I just have de-duplication enabled on the data drives in Windows Server 2012. Makes duplicate files a non-issue entirely.

Yep since its a right click job, you can search all *.jpg on the drive using windows explorer. I also search for files over 1mb.

 

Then just right click on all of them to resize. Make sure you select the correct dimensions and to replace the files.

 

I always take a backup of the originals and put them offline somewhere, just in case someone complains. Never really had an issue though.

I haven't set quotas on teachers' accounts. However I do run the occasional SpaceSniffer scan on the server when I notice the space left is going down. I do like to bulk re-size images through IrfanView. There's nothing like having several folders full of loads of JPGs from phones with each file being 4-5MB at a minimum. I realised a few months ago that two colleagues in particular had over 20GB of files in their folders and investigated. Turned out they'd been downloading stuff left, right, centre, up, down and any other possible direction/angle. One of the two teachers had developed a penchant for downloading the same flipping file at least 3-4 times over a period of several months from the first download to the last. I rather enjoyed winding her up about it as I spent half an hour in her classroom deleting the duplicated files.

 

Now that I've seen this thread I might do a scan now and see what's what.

I recently ran an analysis on our user areas. The mean amount of space used by staff was in the region of 5gb. Some use a lot less, some a lot more but 5gb is the average so that’s what we’re going to set our initial quotas to when we commission our new network.

I've just logged in remotely and found that the art of downloading the same file multiple times is spreading. I have managed to get 3.56GB of space back in another colleague's download folder by deleting duplicate files.
