I keep installation media in folders listed by deptartment.

If there are any key codes etc they are kept in the same folder as the exe in a readme.txt or equivalent.

 

I also keep the same codes in a master spreadsheet.

 

I also have a simple notekeeping type application that holds information about any special install requirements for each application.

 

This application is also used to store information on such things as:

Support calls raised

Contact information

Details about the network and how to create new accounts etc.

 

The IT team also have a mapped drive where we keep even more information and files and folders to do with:

Ordering

Databases

CCTV

Photographs

...the list goes on and on...!

 

 

I was wondering about getting rid of the notekeeping application and just keeping everything in the mapped drive...

 

How does everyone else keep track of relevant information??

i seem to spend a heap of time trying to keep on top of an Excel spreadsheet where I try to inventory the kit along with warranty info but it never seems to accurately reflect what's in the classrooms!

I keep it all in a massive spreadsheet that's password protected and encrypted with multiple copies of it backed up on various devices / computers that only we have access to (i.e. it isn't on any networked devices).

A wiki, with appropriate access controls. If you don't update the wiki, you get to support SIMS users that month.

 

Installation media / install points are stored by vendor, since there's far too much overlap between apps & subjects.

Official line is that we use OneNote to store all our collective notes etc.

In reality, we don't document anything and then get annoyed at each other =]

 

Will have to look at OneNote - first thoughts are if we could use it as a central diary of events!

We also have a hosted wiki that information is kept on, but have been tempted to look at migrating to Evernote, but not sure if I would advise storing personal info / password details etc.

Spiceworks for anything hardware or software related can store my licenses, keys / PIDs etc... all in Spiceworks so very handy :) Other documentation will be in a large word document(s) once I get it written going to be given some time off to complete it which is nice as I need quiet time to do it and sort it all out.

evernote is good, along with OneNote and you can buy pens that import scribbles into it so you don't lose any info

We used an internal secure Wordpress blog to keep track of tech knowledge stuff, used Trellis Desk to log service calls, and had a filing cabinet with hard copies of all software and licence keys - very low tech I know, but worked!
