I use the Outlook tasks option and split it into different categories - Immediate, Projects, On going etc. I then schedule time in on my outlook diary to complete the tasks. I also have a to do pad on my desk for the little jobs that come in. What do other people use? I'm thinking of going to a sharepoint site for the IT department so I can assign jobs to the technician too. I'd use outlook groups but there isn't a task list in there as yet. localzuk Posted September 26, 2016 Posted September 26, 2016 Helpdesk for all IT support jobs (Currently Spiceworks, but moving to OS Ticket soon). Calendar in Outlook for appointments. I don't often schedule time for any projects - too inflexible. I do them when I have time to do them.

I now use a helpdesk (Spiceworks) as having a million different post-it notes on my desk was never going to work! Recurring tasks I have as appointments in Outlook. I find it's the easiest way to manage them (and it's hard to ignore them when I get a notification on a plethora of devices).

BFCIT Posted September 26, 2016 Posted September 26, 2016 We use fresh desk - free online ticketing system. I use this to delegate work to our technician here and it works great. I think its only free for two-three users though https://freshdesk.com/ on the 'sprout' plan so no good if you have more than one technician to manage. I tend to use a pad too for the daily jobs and I have a large whiteboard for any longer term projects or events taking place in the future.
manc_techie Posted September 26, 2016 Posted September 26, 2016 We use a Helpdesk for requests and incidents (ManageEngine) and I have the team using Toggl to track project work/interruptions this is really handy as I can see how much of their time is spent dealing with people ignoring the Incident Reporting process and taking action to sort this.

Outlook - use for emails and appointments - I set all jobs as they come in as tasks so its easier to see later when if I know I'm busy, then transferred to Spiceworks Whiteboard - All big projects for holidays. Evernote - Notes for everything. That's how I keep track in theory but sometimes I slack a bit with keeping stuff in Spiceworks Edited September 26, 2016 by hardtailstar
unixman_again Posted September 26, 2016 Posted September 26, 2016 Hesk - logging all jobs. Outlook - email requests - we get emailed by Hesk as tickets come in. Any staff that email us directly, have a ticket raised by us. Any staff that phone us up to try to jump the queue, have a ticket raised and set to low priority. We also use Outlook for the calendar. Wiki - used to record long term projects and build the holiday task list. A notepad and pencil - what I use to keep track of todays jobs. One of the others in the team uses a OpenOffice document, another Wiki-On-A-Stick - these methods are too high tech for me...

I've tried Office 365 planner but bit too clunky We've been using spiceworks for a while matey and implemented 2 spiceworks installs for catering requests and site team tickets on a local install but spiceworks host a free version too. Im sure youve seen it. Its working well here. Ok its not a tasks or a to do list but it means the jobs can be put on SW for people to look at and accept.

But I have been working on a Sharepoint solution which is virtually done it just needs some time for testing and tweaking....but I've been trying for about 6 months to find that time :-(

Iain.Faulkner Posted September 27, 2016 Posted September 27, 2016 Have you any screen shots of it please so I can see what I'm working towards if I go down that route I used this as my starting point https://gallery.technet.microsoft.com/office/Trouble-Ticket-and-bab2b93b I've then customised it, stripped out the bits we don't want, customised forms etc...see screenshots End users won't get the full form, they will get a cutdown version with just the fields they need to enter on it, they will also get a slightly reduced home page (they won't get "Jobs assigned to me" for example). Like I said, it's mostly done, just need to do some testing of workflows, to test that people get sent emails when jobs are updated/assigned/completed etc. Hope it's of use to you
tj2419 Posted September 27, 2016 Posted September 27, 2016 Trello is a life saver for me. We use manageengine helpdesk for all the main jobs from staff. Then i use a trello board for my own jobs / reminders and have individual boards for large projects.

Sylv3r Posted September 27, 2016 Posted September 27, 2016 All of our job requests and to do list go onto our helpdesk (Kayako). Diary dates for meetings etc go into Outlook. I've also got OneNote setup for my notes and long term plans, as and when the to list starts getting smaller on the helpdesk, I take a few more ideas from OneNote. I've put a wipeboard up in the office for long term planning and notes, but haven't got round to using it yet.
