Teaching Supply Staff

For years we have no issues using a single generic network account for cover/agency staff which as an Office 365 account and access to the Student Resources only.

 

If the supply are just there for the day, they do paper registers, and if they are more long term (2 weeks +), they are given a sims account to take registers.

 

Work fine for years and now with a new HR person - this is an issue.

 

Don't really want to go down the route of manually creating accounts as we never get told if they leave etc

 

 

How do other school handle this kind of thing?

For short term supply teachers we have several generic accounts (supply1, supply2 etc). For anyone doing longer term supply then we make them their own account.

Same as @fiza, range of numbered accounts. Log sheet to show which are being used by whom when, for auditing purposes (safeguarding) and then just change the password after each use.

We have several generic accounts for short-term cover accessing the network with read-only access to a Sharepoint share where any set cover work is stored. We also have several generic accounts to access our MIS to allow registers to be taken but any other permissions are locked down. This approach works well from an IT point-of-view and means we don't have any permission issues or potential gdpr concerns over cover staff being able to access unnecessary data.

 

Long-term cover are treated in the same way as standard staff and are given access to system when they have completed inductions etc.

Google-based here, so we have a single generic coverteacher Google account and they are each supplied with a Chromebook to deliver lessons. Gmail, Chat and Classroom all disabled on that account, but it has read access to a shared drive containing all of the cover work being set for that day. No MIS access, so registers will be done on paper.

We have a couple of generic "supply" accounts for each school for those day to day supply staff. Then any who are in for more than a week get set up with their own account instead.

 

Its so quick setting up an account these days, there's real reason not to set them up if they're here for any length of time.

We have a generic supply account for one-day supply teachers, with limited access.

 

I can see the argument for only named accounts, but in this scenario is just not practical.

We ditched generic accounts - if supply are in, we get a named account set up for them. From a safeguarding, traceability and DP viewpoint it just seemed like a better idea. It also stops other staff abusing those accounts to log students onto a staff PC (“they needed to get on Youtube!”)

 

Does’t take too long to make an account for them, but some advanced notice helps!

Wow, I'm surprised at how many still have supply staff, we have not had supply staff for over 15 years. We just have 3 'Cover Supervisors' who cover lessons to stabilise the wage bill and do other tasks when not needed for cover.

It's hard to get cover supervisors. At least at our place. They don't tend to last long.

Automated provisioning/deprovisioning here, so anyone entered by HR as an employee of any kind will get an account. Otherwise they would just be provided with a least-privileged generic account, to mitigate the risk of any named accounts not based on MIS data being left open indefinitely.

We have a team of (I think 5 now) cover supervisors, but still wind up needing supply during really busy periods like the end of the autumn term (November before last we topped out at about 30 teachers off at once), and we still use supply for longer term cover.

 

We have individual supply accounts with an automatic process to lock the short term supplies at the end of each day. Although most of the cover accounts are for longer term these days so have the auto lock disabled.

If you never get told they leave perhaps auto disable them every saturday

Each cover teacher gets a unique login. We have a list of regulars and if their accounts aren't used for an interval we check if they're still valid with the cover organiser.

 

Ad-hoc cover on the day still has a 50-minute window to spin up an account which, provided no-one else has done anything exceptionally daft that morning, is more than sufficient.
