Can anyone recommend an electronic request log for facilities?

 

We've previously been using a butchered version of SharePoint WSS, however this has now been retired.

Ours is currently SP2010 as well, but I guess any email-based ticketing system could be bent to your needs. We use osTicket for a couple of helpdesks here (including our IT helpdesk) and I had plans to set one up for the site staff as well, but I never got around to it.

Excellent find, I'll have a look into this.

Bear in mind it isn't a whizzy Web 2.0 product - it is very much last gen, and it has its foibles, but the company have been very helpful so far with me.

We just added the site team as an extra team on our existing IT ticket system (OSTicket) and gave them a "site tickets" email address. If you're already running a ticket system for IT stuff that seems a much simpler way (if possible with whatever you're using) than a whole new package.

Ours use the same Helpdesk product as our IT, Science, Media and Print Services - Kayako - and just have separate departments and email queues set up for each.

How do you justify the high cost of such a system? For the 10 staff that'd have to use it here for IT and Estates, we'd be paying £2700 a year for the feature level we'd want. Whereas we bought Sitehelpdesk for £3400 total, plus a 15% per year maintenance cost (£510 per year). Things like Kayako interest me, but the bosses would balk at a yearly subscription cost.

We've recently setup our SIMS team and Maintenance team with Spiceworks. They seem to be getting on fine with it.

I use the free version of Freshdesk, staff send their requests to an email, which then creates a ticket on the Help Desk. Very simple system, but very efficient and effective. I love it.

Also integrates with g suite if you use that which is neat.

I built a free and open source app for this purpose a while ago, called SiteJobs. You may need a bit of technical knowledge to get it up and running though.

There are loads of helpdesk threads. Granted not all related to site staff but same principles apply. We have osticket at our place. Works a treat.

I had Kayako at a previous school, but before they changed their pricing and removed the self hosted perpetual licence option - so that was not so bad, but wouldn't but it now - currently running OSTicket for IT across 10 sites and will be adding Premises to it later in the year with its own email as someone else said.

There are bits around display of ticket list that OSTicket doesn't do I would like, but not at the expense of Kayako now
