Liam Posted October 20, 2014 Posted October 20, 2014 What are your views. How do others manage the never ending amount of all staff email? I wouldn't mind if I hadn't created groups for everything! We are creating a notice on our intranet page for most I hope, but they really frustrate me.
FN-GM Posted October 20, 2014 Posted October 20, 2014 We have a staff bulletin that goes out twice a week. Staff communicate via this and don't send global emails. The new job everyone seems to send loads every day. Urgh!

We get blanket E-Mails sent out with subjects like 'For Teachers of 9J' or 'Ignore if you are not teaching James (10C) today' We have created groups for staff to use and publicised them repeatedly. Very frustrating.

MatthewL Posted October 20, 2014 Posted October 20, 2014 We restricted the use of our all staff list to just a few senior staff to stop it from been abused, if it had to go out it was with their approval. It did not stop people expanding list and doing it that way but very few knew how to do that!
Zourous Posted October 20, 2014 Posted October 20, 2014 Regular offenders are the "lost keys" emails. I have a simple rule to not lose my keys ever! they are either in my hand or in my pocket!!! Also hate the ones that start with "sorry for the blanket email...". They know they shouldn't, but what the hell they're going to do it anyway. Also annoying are the one's that contain a sizeable attachment of a newly born baby.

I was chatting to another IT manager last week, that school still use sims for similar purposes so I guess that's a blessing. Not using sims I mean. Them attachments add up. Wouldn't mind if exchange has some kind of deduplication method. Not sure of o365 does this actually. I just see pound signs everytime an email is sent. Knowing that it's hit 135 mailboxes sickens me. Lol

gaz350b Posted October 21, 2014 Posted October 21, 2014 Ours are pretty good. all sorts of distribution groups. all staff, academic (teaching only support staff tend to opt-in to this 1), Tutors7-11, SLT, Finance, cover, Letters only thing that annoys me is when they email it support (not a true Distribution group i suppose) and CC me or another member of the team......what they don't realise is that these emails also go to the Principal and our link SLT. So they also get to laugh at some of their requests with us!

In the end it turned out that only a handful of support staff didn't need to know about students, so we binned that idea. We just have all staff. If the email isn't relevant just delete it. It's not hard.

What I do is, I enable the desktop alerts in Outlook, so I get a little pop up from my system tray for every new email, and on that popup is a nice big X to delete... It is one of those unsolvable problems. Like many others, we have lists for departments, year group form tutors, teaching staff only etc. etc. and I still get no end of useless guff. I almost don't notice it now, I'm so used to deleting on reflex (to the point of sometimes missing information I actually need). My pet peeve is staff who email Staff Support IT instead of our shared Helpdesk mailbox; on the latter, I can see when something is flagged, completed and replied to, but if they use the former we end up doing the work four times, not realising someone else has already dealt with it.

Er....remove the Staff Support IT account? What's it for anyway? Or at least forward everything to the helpdesk and ignore the account

Same here - odd few people like caretaker and senior office staff + senior management can send out an all staff email, otherwise it has to be cleared with senior management

Or at least forward everything to the helpdesk and ignore the account It's the security group we're all members of, that is itself a member of Support Staff, that is a member of All Staff... I've considered setting up an Exchange rule to redirect to Helpdesk (except Office 365 has a bug when using a security group as a target in a transport rule) but then we'd miss the emails sent when someone is leaving, and an email is sent to everyone by expanding All Staff until they can remove the departee. I'm trying the education route instead, but, well, we know how long and rocky a road that is! (Just to clarify, as it wasn't obvious in my original post, Staff Support IT is a distribution list with all of us in, so we all get an individual email, hence can't tell when it's been replied to) Edited October 21, 2014 by sonofsanta

Nobody was actually looking for them anyway. Emails headered 'Sorry if this doesn't apply to you Emails between three-to-five staff members planning an event, emailing everyone else "to keep us in the loop" Sharing potentially confidential information. clockend25 Posted October 21, 2014 Posted October 21, 2014 We restrict who can send to all staff, all teaching etc. It's generally worked well although those with the privilege still manage to misuse/abuse it fairly spectacularly at times.
Novalee Posted October 21, 2014 Posted October 21, 2014 We have distribution groups for each department, support staff, teaching staff, year groups etc. Recently had a push on people using the correct group and they were all emailed a list. So now we get emails sent to (for example) KS3 tutors, Teaching staff and all staff - with a handful of staff copied in - just to cover it... can't seem to win!!
