Hi

 

We are using Parent Pay and using MIS:SYNC to sync our Pre-admissions information to Parent Pay but when I use MIS-SYNC -->Pre-admissions --> Manual Update --> Import to import Pre-admissions is only showing one student that is set to start with us on the 1-7-2016 and not any of the students in the Pre-admission group in SIM's.

 

Not sure if issue with Parent Pay and MIS:SYNC but have a call raised with them which has got past first line support just waiting for call back or is something missing with Pre-admissions but can see the students are showing as Accepted and Offered for Intake 2016.

 

Just wondered if anyone could think of anything else.

I think they changed the system last year(could be wrong and most likely am)do the students have admission numbers/upns?

Hmm only other thing i can think of is the admission dates. If its set to a date in future it may not work.

I will know more when i am back in office tomorrow.

LGFL have blocked some of our access levels at work so cant rav3 or teamviewer in at the moment.

Cheers mukz it may be something around this or something to do with admissions, if I run a Pre-admissions report in SIM's with following Effective Date: 30-06-2016 and following fields below see image I get just the student starting tomorrow 1-7-2016 if I change the effective date to Monday get no students if I change the date to last year it shows me last years pre-admissions.

Hi Stephen,

 

Sorry for the late reply.

 

The process is that the permanent UPN number is used as the unique Id for pre admission pupils.

The ParentPay system identifies the pre admission account by the permanent UPN number once the

pupil is on roll and a school performs their first upload into the new academic year. The system

replaces the UPN number with the relevant Admission number and moves the pupil out of the pre

admission group and into the pupil group. This ensures that the account retains all of the login details

and payment information from the pre-admission account.

Just to clarify, it is not possible to upload pre-admission pupils to the ParentPay system unless you

have their correct permanent UPN number. Unfortunately this means that reception pupils cannot

be added to the ParentPay system until they join the school roll at the start of the new academic year.

 

This was sent to our support email about 2 months ago.

 

I do hope this helps. If not you may have to bear the long queue on the phone to parentpay to get this resolved.

Secondary school here and our bursar has the same problem. I've previewed the Parentpay Pre-Admissions report and I get the right number of Accepted students appearing but they can't see anything for upload. UPNs are not all in though as primary schools continue to send CTF files throughout the summer holidays so we just don't have that data for everybody.

I had to export the information out of SIM's in the end and send the file to Parent pay for them to import although you need UPN's we chase this up as much as we can but it gets to a stage where we haven't got these we sort these out start of term.

This is really bad, we also don't have UPN numbers yet and I feel the PatentPay system should be able to handle pre-admissions without this information and then match it up later on when we do get the UPN numbers.

Pre-Admins need to have a UPN and be "Accepted" in SIMS.

 

I ran the import a couple of weeks ago, 276 with UPNs 60 odd without. Activation letters went out last week, the rest have been advised to use our online help form to request the details in September. Although I have been wanting to run the "You have not yet activated your account" letter (sad, I know :rolleyes: )

 

What happens if you do an Auto-Update? Our Network Manager was advised to use it by PP a couple of years ago (he can't remember why though) and has just carried on doing it. I did an Auto-Update this year and once again, no issues.

I'm just trying to remember what was involved when I had a similar thing, I vaguely recall that the students were present but no contacts and salutations and so they didn't appear for export through MIS Sync.

I'm having this fun now. All my pupils have a permanent UPN, all have status as Accepted. I have also successfully uploaded my preadmissions for last few years (using MISSync) so don't know why this year it is coming up with no pupils. I sense it is the parentpay report named 'ParentPayPreadmissions as it was last updated 9/11/2023. Has anyone else used it successfully this year?

 

It says 'WARNING: All pre-registration records were ignored due to missing ID numbers -' but I think this is wrong, in the log it says the below. I don't know why the students are not showing in the sims report, or even if you make your own report in the 'Accepted pre-admissions' data area, it doesn't come up with any pupils. So in that sense not really a parentpay error

 

Warning: 2024-06-24 10:08:13 : Record 1 is blankError: 2024-06-24 10:08:13 : Nothing valid was found.

Any ideas?

Does the SIMS user you are running the report(s) as, either manually or via MISSync, have the Third Party Reporting permission? You need that to get the IDs from SIMS.

Just chiming in - googled the error we're getting and found this result.

 

We've been sent the patch but it doesn't seem to be working still.

You’re pre admission students need to be in accepted state for MISSync to pick them up.

Yea we have 200+ students, all set as accepted.

 

UPDATE: Solved it - It's because some of the team had previously in the year mistakenly clicked pre-admissions > auto update on MISSync, instead of Pupils > Auto Update, Resulting in 2 random pre-admissions being stored in ParentPay.

 

After confirming these students weren’t actually pre-admissions, I was able to archive these entries through the website under People > Uploads > Archive Pre-admissions

 

Re-uploading the pre-admissions this time was successful.

Ok people, here's my guide I wrote, tells you all you need to know about parentpay pre-admissions! (using MISSync). Edit - just had to reupload as noticed small grammar problem

The issue I was having may be pertinent to your guide, it had stumped ParentPay and EIS (surprisingly).

 

You cannot have a small number of students sitting waiting to be archived on the ParentPay website, when trying to upload the new Y7 pre-admissions list.

This may be common knowledge, but this is the first time we've run into the issue :)
