Jeepers, When you select a date it reveals all the other options. I never bothered selecting a data as there was no point if I could not choose what to keep or delete. You only get those options when you select the date, DOH. Now it makes sense -

Yes Spanning backup includes emails, calendars, Drive / Team drive and sites in its backup. Suspend accounts for a while and then delete -

Well I am still confused. I was told this yesterday So can you talk me through setting Vault up so it only keeps emails or documents for 6 months after they have been deleted, but does not go in and delete all current emails & documents that are over 6 month old. EDIT - BTW the info I was told yesterday I was also told by Google over the phone. -

But I have been told more than once that retention rules control the retention of files held by users, not just the files they have deleted. So if you have a retention rule of 1 year, Vault will go in and delete any emails or documents it finds that are over 1 year old, even if they are not in the bin. -

OK - so if I un ticked the option 'Set a default retention Rule' would that be a bit like disabling Vault. Currently the school has retention rules set to indefinitely, what I would like is for data in Vault to get deleted when it get s deleted by a user or soon after. -

And what does safeguarding have to say about using something like Vault, which keeps data longer than the retention period required. How can something that by default will keep documents that have already been deleted by a users be compliant? Take my post No3 above as an example. EDIT - Added bit below Yes I would be disabling Vault for the entire domain. Why would it keep functioning if I have disabled it? EDIT #2 - oh disabling Vault just restricts who has access, hmmmm -

So I have decided to disable Vault. My one question is - Are there any knock on issues when disabling Vault for the domain and any current emails or Drive / Team Drive files? If I disable Vault it's not going to go in and delete current files or emails? Sure I know the answer but just want to check first. -

This carries on from some other posts but Vaultt probably does not meet GDPR / DP requirements, at least not that I can work out. For example, email 1 needs to be kept for 1 year but email 2 needs to be kept for 10. Vault retention would need to be set for 10 years, anything less and Vault would go in a delete the email that needs to be kept for 10 years. This then means that the email that need to be deleted after 1 year can only be done manually. Lets say the teachers does go and delete the email after 1 year, Vault will still have that email for another 9 years in its system, which means the school are not following the GDPR / DP requirements. This is the bit I am not sure about. I am assuming GDPR / DP comes before allegations / audit. -

Just wondered if anyone is using G suite but not Vault? I am thinking of disabling Vault and wondered if there were any others that had done the same?

This is just a very small primary school, they only have a few folder locations in their Team Drives (Office, Staff, Pupils, Governors, Photos, SLT) so the staff have been deleting items themselves. I am starting to think it might just be simpler to disable Vault. -

Just noticed that in Vault they have added the ability to delete items that are older than xxx that are within a specified Team Drive. Nothing like that for Emails that I can see, and it is the emails I am more concerned about. -

I still cant see that working. Firstly we are 90% cloud based. If I set all emails and documents to delete after 1 year, not only will that delete our website but who knows what. There are so many documents that legally need to be kept for longer that all I can see happening is the school losing everything it needs to keep. I seem to remember this, but think it might only be in regards to the right to be forgotten and not data retention. Just had a thought, I could disable Vault completely, set the backups to delete after xxx time. I would need to have a long hard think about this as an option as Vault does tick other compliance rules. What does everyone think? -

That is an understatement. I do not see how anyone can be compliant if they keep backups for disaster recovery, seeing as some data is required to be deleted instantly. -

The school doing what they should do, manually delete the emails or documents that need to be removed after one year, except Google Vault has been set to keep all emails and documents for 10 years, so those documents that have been deleted after one year will still be kept in Vault for 10 years, it's a catch 22. Advice please

Well I have just tried to login but cant get passed the 2FA, turns out when I click send, the main line phone rings but cuts out. Are Apple trying to send a txt message to our mainline? I then tried to enter the master restore number, which I am told is not correct so contacted the local authority who set the ipads up for the school and they do not have any other numbers. Should I contact support? -
I would just like a list of anyone connecting from file stream, in a list of auto blocked users where I can simply click allow.
