ePortal VS Fire scenario

Okay, have completed phase of staff training and a question came up which I couldn't answer... neither could the ICT coordinator or secratary.

 

What happens during both fire drills and real fires? With ePortal there is obviously no paper work involved, so how do you check all the little darlings are there when you are standing outside? How does everyone else do this?

We took advice from the fire brigade and were told that we don't have to take a register during a fire alarm since the fire brigade have to go in and check the entire building anyway.

 

All the teachers have to do is know how many pupils are in their class so that they can confirm that they all made it out.

I don't think the teachers will remember how many people were absent that day, I know I wouldn't.

 

My uncle works for the fire service so i'll query him about it. I guess I could also contact the LEA.

This is a problem with all electronic registration systems. We are currently wondering the same thing with SIMS.net.

 

We were using the electronic registration module and printing off lists after the registers close in the morning. It kinda defeats the point of having electronic registration though.

 

What we are looking into now is using Lesson Monitor and SIMS.net mobile registration on wireless PDA's. This has the drawback that it requires the server to be up and running though and a wireless link to be present.

 

Is there a similar PDA based system for eportal maybe?

There is the "Print Fire Drill Report" button on the Admin front end. But there are "issues" with that report.

 

A fixed version is available.

Here the office staff print off the registers every morning at a certain time...which i don't know :oops: ...

 

anyway in the event of a fire or fire drill they bring out the registers from the main office and then hand them out to form tutors.

 

In the event of the main office going up in flames we could use any laptop that has sims + lesson monitor on it to check the register.

We had similar thoughts but that defeats the purpose of e-registration

 

We bought a fast printer that does 28 pages a min. We have 30 classes. It works out faster for the receptionist to do the printout and walk out with the paper than it is to wheel the trolley with all the folders in it.

The trick is to have classes gather in the classes they were in at the time not the form groups - the teacher should be last out of the classroom anyway as they have responsibility. The arrangement we had was to do a headcount as kids left the classroom and count them again when they met. That way its an up to date count. Although it's not perfect you dont need to know which kid is missing; the others will tell you.

We have SIMS lesson monitor and afaik legally have to have paper copies. You might find the same..

This same query came up at a SIMS user group recently. From what I remember, one authority had a laminated class list for each class, attached to the door. Then a black cross was put next to absent pupils, so a quick visual aid was availbale during fire drills.

 

Of course, teachers have to remember to do this each lesson.

Surely, just priting a daily absence report would only be a couple of pages long, and then you know who shouldnt be there and everyone is should be. I know how many are in a year and class quickly and easily, and it takes only 1/2 pages for hte abscentees report to be printed so that may be easier rather than reporting everyone here it to say they are not.

That method is relying on a teacher to remember all the students that are meant to be in their form / class....it's never going to happen reliably.

 

I like Ric_'s idea of talking to the fire bigade because they do check.

 

At uni there is no way for them to check except to see if anyone is left inside. It's happened a few times now where they had to evacuate and they just check inside. At the school I was at they used to still have the OMR sheets for lower and upper school and only the VI Form was on ePortal but they did printouts. I believe they're on total ePortal now.

Definately do talk to the fire brigade, it was our fire chief that decided we should use my suggested method; legally i believe you have to have paper copies, it accessing those paper copies endangours another individual they should be left. Do talk to the fire brigade though then atleast you know you're safe.
