Hi,

 

Wondering how other Schools do this, for ref we are a 365 Environment, systems would have to be cheap or free due to budgets.

Curious

 

IP Addressing - DHCP with reservations and spreadsheet, not ideal and would prefer proper IPAM

Instructions - Generally group emails but would prefer a Wiki system that is cloud based

Asset Tracking - Manual via spreadsheet

Helpdesk - Spiceworks Cloud

 

Other examples would be useful.

SharePoint can also be used for ticketing, there's a built in template I think. It might also include asset tracking, not sure though.

A +1 to SharePoint as a FAQ and helpsheet/guide respository.

We are looking at Snipe-IT for asset management. Does the job, but a bit clunky in places. I spun up an Ubuntu server and got it all setup fairly easily. Alternatively, the cloud hosting is very cheap. If you are setting up a Linux server it gives you the option to setup an actual Wiki instance.

It can indeed. We use Sharepoint for ticketing. Its not fantastic, but it works for us, and saves us paying for a hosted solution. Ours does not in clude asset tracking, however we're using quite a dated version of the helpdesk template.. new one maybe does!

Asset Tracking - Microsoft Lists, allows us to assign 'loanees' using their 365 account too.

Helpdesk - Spiceworks cloud too, we used to host in on-premise

Instructions (MS Teams) - we have a 'Tech Tips' channel in our All Staff team

 

We do still have fairly hefty on-site server infrastructure, cashless catering, BMS, access control, CCTV, digital signage, all the various MIS link tools, AD/DNS/DHCP, AAD sync, print server, Config Manager, Wireless Management off the top of my head

OneNote for documentation.

 

For assets its all in our ITSM, we are doing computer startup scripts writing hardware specs etc to a sql db which also gets imported daily to our ITSM

 

ITGlue is cool but expensive

We use GLPI for asset tracking (although it can do all the other stuff too), FreshDesk for our helpdesk and DokuWiki for our documentation wiki. Our DokuWiki site is hosted externally, so that it's available throughout any on-prem meltdowns.

Hope you don't mind me piggy backing of the back of this thread but does anyone have a DPIA - Data Protection Assessment for Freshdesk they'd be willing to share?

Snipe-IT is good for asset database, value depreciation, check-in/check-out for assets out on loan and keeping update/upgrade information in maintenances. It's fast when you want it to be and the interface has improved over time. A really useful freebie for a busy IT department.

We use Freshdesk but I've not seen a DPIA for it. There's precious little sensitive data held, just staff & student names from AD.

Even with names you'd want to do a DPIA - we spend our time complaining about staff trying to setup systems requiring student names and email addresses when they haven't done a DPIA or engaged with us so we should be doing the same.

Yes, I guess so. I'll look into it with Freshdesk. There's only so much resource and hours in the day!

This is our issue, we use our instance for all data including Finance, HR and etc. So we need to ensure the DPIA is robust in case of any challenges. I've spoken to our internal teams who have sent over a template but was hoping glancing at someone else's might give me some ideas on where to start with ours. I am in contact with Freshdesk as surely they must have one as they work with departments in Government.
