I've had a very brief quiery with regard to having a shared area where Governors can look at and review files.

No doubt there will be a more formal question soon, so I was just wondering if anyone had setup anything such as OneDrive for a simular purpose or has any guides?

 

I meantion OneDrive as we have Office 365 and I know there are the basic document tools embeded into 365. Though am open to other options.

We use a sharepoint site for Governors. They have login to the domain, email redirection where necessary but mainly the login just gives access to their sharepoint 'team' site.

Seems like a good idea. I am trying to get something similar set up at my governor school.

 

Much better than emailing millions of pdfs to all and sundry.

 

You haven't moved to Kent have you?

We use HAP for our governors and they all like the fact that documents don't need e-mailing out and are readily available (as long as they can follow the simple connection guide for the wifi)

My 2P: an alternative to the MS route (and far better from a collaborative point of view) would be to use a shared folder within Google Drive... attractive option not least due to it being FOC and unlimited storage.

We use an area on our website and password lock it. Gave our clerk editors rights to the site and she updates it when she wants. We have messed around with different solutions in the past and this proved the easiest for them to use!

SharePoint site here too for our Governors. Meeting calendar on the front page and repositories for documents, minutes, etc.

We do the same. Our Business Manager has the password. Our webmaster set it up a few years ago. Must be working well as I haven't heard about it since: Knowing our Governors we would have heard if there were an issue.

or leeds. I set up a shared space / drive in onedrive/sharepoint added them as allowed users and so far it seems to be working had no complaints just request to allow the cog to alter membership

I set one up using dropbox pro (about £80 a year) as the governors wanted access without a bunch of extra online accounts and I wanted something that was really easy for the secretary to use. The secretary can access the shared folder from her PC just like a normal local drive and the governors only need to use the link and password to get read only access (so no accounts to worry about).

 

I looked to do something similar with Google but could not find an option to have something shared by a link with a single password, it was either shared by a link and fully public or shared by a link and required a Google account to log in.

 

We have a new website going live soon though and that will let me do it properly with a password protected area with shared documents, calendar, etc.

Google Drive here as well. They all have their own login and the sharing permissions are very granular and ready to manage - when there's a sub-group looking at something that's not for all eyes, it can easily be controlled.

 

A question for those who say they've not had to be involved in the management - who is making sure that access is removed when governor's leave?

Well I've just had a longer conversation now, it seems they have used Google in the past and aren't too happy with it (odd, but ok) and want to use Office 365 to keep in line, one system for all things (can't argue with rationalisation).

 

Queue me setting up accounts and experimenting... although if anyone has any guides, they would be more than welcome. ;)

I had to set up something similar for our merger. It took about 10 minutes with Sharepoint on 365. Just create a new site collection. I think this was the guide that I used:

At the moment I am hitting my head trying to create a site because there is no value in the list to select an Administrator of the site, no selectable accounts at all. Fun. :)

The only thing I did different was set it to community site. I get the same thing if I select team site, cant select admin when searching all users, but can find myself when I search Tenant.
