Following a recent Academy conversion, I've been approached by our Premises Manager about implementing a room booking system.

 

Really I'm just looking to see if anyone has experience of these systems or if anyone else is looking into them who wouldn't mind pointing me in the right direction?

 

Main features needed:

- Centrally manage the booking of (almost) every room on the site

- Record details of the booking (contact details, no of people, etc)

- Import classroom data from SIMS (not a necessity but would be very useful)

- Be easily accessible by Admin / Site staff (potentially a web based interface?)

 

 

The budget by the way, is still being decided so as long as the price isn't ridiculous it's fair game.

When ever the word "money" is mentioned, everyone seems to back away although if they want it, they'll pay for it!

 

I've told those involved that it isn't going to come cheap .... I'm waiting for them to ask me to write the software myself on my lunch break!

You can set this up in O365. Create a shared resource mail box for each room. When people fill in a meeting request in their diary include the room in the location field. You can set permission so only certain people can book while others can view. Neat features liike auto schedule can also come in to play where it will check everyone's diary and suggest the first time that all attendees and the room are free.

 

You can also view the calendar for a shared resource, so you'll effectively get a time table for each room.

We've built our own using Google Calendar and hosted on a Google Site. Staff either self book using available slots or fill in a Google Form to request a booking if user intervention is required. Staff can also just check their own calendar to see any bookings that they have made. Works really well and is free.
