Easymail migration to Office 365

Oh for heaven's sake

It is now telling me that it cant create the emails as we have no valid licence. I followed the instructions and "bought" the free A2 licence for education and it all seemed fine. During the import it told me that the A2 for faculty licence was available - but only one NOW WHAT DO I DO

I thought I had put 100 but it said 10 - probably my fault.

Just out of interest, what web browser(s) do you use in school, as performance of OWA in some isn't great. Just something to take in to account if your end users are using solely webmail.

Very true but you can use a special url to give them the light version web app if that's the case and that's similar I guess to the current easymail functionality.

We use IE because of easymail- attachments are not visible in Chrome etc - that could change if we aren't using it anymore, I suppose

Now I have a meeting with the DH tomorrow to discuss the migration so I need to have all my ducks in a row.

I need a definitive list as to what I will need to do now (and how) and also information about how migration can be done by individuals.

Also, I need confirmation of the fact that contacts will not be imported

 

Finally I need to migrate one email account to show him. I was thinking of one of mine? I have read over this thread but I am still not quite sure how to do it right.

I would be grateful for some help please? I know I have been very needy over this but I am so grateful. Especially @plexer who has been on here, and PM, and email to try and sort me out.

You create a csv file which you know the structure of and put in the details for your office 365 account and your easymail details then you upload that in the migration section and run it.

 

Migrations run until you tell them to stop.

Where or when does the MX record come in. If I do the migration without the mx record, what happens - nothing? All mail goes to both places? What?

What do I send over in terms of MX record and do I have to wait until the head etc have done their thing

How do they do their thing - they wil want to know

 

Will their contacts be migrated? Some info says yes, some no

If you don't change the MX record email will be delivered to easymail as it is now, the migration run in Office 365 then connects to the accounts and pulls the email in to the users Office 365 account, this continues until you delete the migration job so you could run it forever it you wanted.

 

Once users are using Office 365 and happy you can then have the MX record changed so that email is delivered direct to Office 365 and at this point you could then decommission the easymail service.

 

Once you have setup the accounts in Office 365 they can login and the head etc... can add the easymail account as a connected account in order for their existing emails to be sucked in to their Office 365 account.

Without the live MX record, the migration will do nothing other than replicate your e-mail in 2 places. New e-mails will arrive in your Easymail account, and then the migration synchronisation will copy it over if it is still running.

 

Once the MX record has been updated, all e-mails will arrive in the Office 365 mailbox for your users regardless if the old e-mails are there or not. You can continue to migrate until such time as the easymail accounts are deleted.

 

Admittedly our old e-mail server was onsite, but we kept it running until October to give our staff 3 months to login to create an export of their contacts (and we went live with 365 at the start of August)

If the boss adds the easymail account as a connected account - what happens when the subscription lapses and the easymail disappears? Are we presuming by then the person will have told everyone about Office 365 and so wont need the easymail anymore? That doesnt sound like the migration to me @Boredguy, you mentioned exporting their contacts? If the bulk migration doesnt export contacts, is it easy for individuals to do once the migration has been set up?

Once the head has attached his easymail account, he should be able to drag the e-mails from one account into the other via the web interface (pure speculation that an external account works the same as my shared accounts where I'm moving e-mails backwards and forwards all the time)

 

Once your easymail subscription has expired, then all your accounts there will be disabled so staff will have to have ensured they have their contacts copied if they want to (95% of our staff did not bother) before that date.

 

In an ideal world you would keep both systems running side by side for a few weeks after going live with 365 just incase.

 

If you think of it like a pair of filing cabinets... Easymail as a old one with a drawer hanging off and 365 as a nice shiny new one. You would move all the contents over into the new one, but you might have to wait a while for the site team to come and chuck the old one in the skip

I mentioned ages ago that the migration won't export the contacts and there are links as they need to do it as a csv or re-create them from received email unfortunately that one issue.

 

The end-user doesn't need to tell anyone anything about Office 365 if there email address stays the same nothing will change from a 3rd parties perspective.

Our easymail subscription doesnt run out till next summer so I could give them quite a long time to sort it - but once I do the mx record then emails will just go to 365. @plexer, I know you mentioned that the bulk migration wont export the contacts - I wasnt aware that there was a way that they could export them themselves - they will need to be walked through that.

Still not sure what I tell swgfl, mx record- wise

 

*of course they dont need to tell people - sorry, going quietly mad...

 

The worry is that if easymail is still in existence then that is what they will go on using - blithely ignoring the requirement to use Office 365 and get their contacts over...

You just tell SWGFL to change the MX record for domain to record_given_to_you by Microsoft.
