Hi

 

We have moved to 0365 and we use SharePoint and Onedrive.

 

One of the staff is asking to install Dropbox on her laptop. No sure what to email her.

 

They have access to the school Onedrive and not sure why she is asking Dropbox .

 

Will this be a GDPR issue and will i need to speak to SLT and tell staff that Dropbox is not allowed ?

 

Please advise...

Big fat NOPE!

 

SharePoint is the schools choice platform for online file sharing, management, security and auditing.

 

Simples. Just stick your foot down.

There is also a web interface to Dropbox which you may have to block at the filter level if staff are abusing it for storing work outside the authorized systems.

 

Yes, this is what I tell staff, Dropbox can be used without the app, it's a little more inconvenient but work 100% with shared files..

This is probably the compromise I'd go for. No, we're not installing the app (insert security / storage concerns here), but you can access the web version if really necessary.

 

Accompanied by chapter and verse to say that any school stuff needs to be in OneDrive / Sharepoint for policy and compliance reasons.

Given that you would have no control over the data in dropbox or what country it is stored in, it is a NO here. Seems to me to be simply a GDPR/Safeguarding issue - risk of data loss of confidential data.

No because:

 

"You" can't enforce 2FA for personal users.

"You" wouldn't be able to see if any data had been accessed unlawfully as you would have no audit access.

Data may be stored outside of UK, EU, USA. There's another thread about these issues (different context).

Any data/information uploaded to Dropbox would likely be outside your backup regime.

I don't think (maybe wrong) that it supports SSL inspection, and unlike Microsoft which will report "bad things" separately, it would need a filtering inspection exclusion, so could fail Filtering and Monitoring standards without SLT signoff.

 

Dropbox doesn't exactly have a glowing reputation for security, with numerous data breaches over the years.

I think I would start by asking "When you say Dropbox, do you mean OneDrive?" in case they're using the name interchangably.

 

"My iPads not working" > "That's not an iPad" > "You know what i mean"
