2097 Posted January 10, 2023 Posted January 10, 2023 Is there any or does any one currently use a type of software that allows multiple users to be in the loop when someone joins or leaves the school Basically need it to do the following . User joins school Some sort of interface knows all the requirements req , Sims , AD etc etc ( Pre setup by the school admin ? ) Emails or alerts the user responsible for each system , then that user sets up the account and maybe signs off whats been done ? We are so in need of software/web interface that does this as so many people are responsible for different things !
Andycat Posted January 10, 2023 Posted January 10, 2023 User goes on SIMS here, then Locker (was Ruler) connect does everything else set by the contract/start dates on SIMS: AD username Office 365 email address correct licences (ie staff or student) enables account Then disables and removes licence when contract ends Good central point of failure, ie SIMS inputted details!
IRL Posted January 10, 2023 Posted January 10, 2023 Are you a 365 school? If so, a Power Automate flow could be created that would do all that for you. It could create a document on a SharePoint site and email all relevant parties.
TechMonkey Posted January 10, 2023 Posted January 10, 2023 2 Options: - Look into help desks that have workflows. This will be able to follow a process, present task lists and wait for approvals before moving on to the next step. - Look into M365 Power Automate and set up a workflow in that.

thebatman Posted January 10, 2023 Posted January 10, 2023 +1 for Salamander, if it is correct in SIMS, everything els is ok. We use it for setting up Students and Staff in AD, Teams, Google Classroom, Emails, Groups, Door entry system (Paxton), Time tables into Outlook calendar.... there may be a few more things. I bet they can even get the system to email select people when the users are created/disabled too if needed.

But am also starting to look at some sort of Power Automate as have found I have no info on whether new staff are cleaners, admin or teachers or which faculty they're in!
msi_school Posted January 10, 2023 Posted January 10, 2023 I have used Salamander and a shared word document to gather all the extra info required. Salamander works great but I rarely had nay of the extra info supplied.

pete Posted January 10, 2023 Posted January 10, 2023 Salamander here too. It does require the MIS data to be correct and entered in a timely manner. You'll also need to define a "staff & student accounts should be created X days before they turn up", as the default is the morning of the start date in SIMS. But other than that, it's more than paid for itself.

Chclark Posted January 10, 2023 Posted January 10, 2023 Salamander here , creates user from mis data adds to groups email etc, creates net2 account including image from mis, card number is written back to ad which syncs to papercut so no account linking needed. User leaves accounts all disable and move to leavers ou or if moving to another trust school and account is moved to the new schools ou and attributes updated for that school.
