We usually delete our old year 11 email accounts after the October half term but or pastoral team have just asked for them to be kept active until June 2021 because of Prom communication :eek:

 

I've said no. What is everyone else doing?

No way would we allow students or staff who have left to keep their school email account beyond their leaving date. We sometimes re-enable them if they need something but that's very short term.

 

People with no current connection to the school shouldn't have school accounts - how would you deal with misuse?

No chance

 

Year 11 are normally off in August, but we kept them on for COVID resit applications this year; they're being switched off next week.

I tend to leave year 13 accounts enabled after they leave, as many do their UCAS applications via their school accounts and there may be communications into September and October.

 

Year 11 got switched off when I got the year 12 start lists on the first week of term.

 

They’re no longer bound by the school’s rules and discipline procedures, and arguably they shouldn’t have any access to your systems at all once they leave. Some discretion is fine - it’s the head’s call - but a blanket plan to leave them enabled for a year isn’t a good idea.

We kept Y11 and Y13 on for longer because of results and UCAS, but now we've finally agreed to close them both at end of autumn term after they have left.

I tend to leave 13s to half term

 

What do you all do about mailboxes and work ? With mailboxes the account is suspended under GMail, with their work I tend to archive it onto an external HD

Normally, we disable and archive the old Y11 accounts at the start of the summer, then the archived accounts are deleted the summer after. This means their emails and work is cleared a year after they've left

I hope you said it's not possible as they no longer qualify under the current licensing agreement. But if they wish to PAY to keep the accounts active it should be no isssue.

Move the users into an Alumni setup, getting their agreement (for both GDPR and PECR) when they get their results. This also gives the school a way of tying in the students for other things in the future ... they just need to be up front about it.
