Student Usernames / Display Names / Email Addresses - What format do you use?

Hi all,

 

How are you formatting student usernames at your schools?

 

Currently we use firstname.lastname for our student account and email addresses.

 

This is increasingly being questions from a safeguarding point.

 

I have been asked whether we can change this to ID reference number. How does that affect how users appear in Outlook address books and on Teams etc?

We use the same

For staff it's [email protected]

 

For pupils we use year of leaving (based on them staying for thier whole school life here) followed by first two letters of first name and last name @ different.domain

 

e.g. a pupil due to leave this year, called John Smith, would be [email protected]

 

This allows us to identify who it is without revealing their name. In five years of running this, we've only had two "conflicts" where pupils would have had the same email - so added third letter of first name to solve this.

We use first letter first name+4 of surname and admission number for students

 

Staff are first letter first name+ surname

Staff is initial + surname so John Smith would be jsmith

 

Students its the year they joined followed by initial and surname. So John Smith who started last September would be 19jsmith

Display names are all Firstname and Surname.

 

Staff usernames and addresses are firstname.surname

 

Students are {cohort intake year (2 digits)}{surname (12 chars)}{forename (1 char)}{admission number (last 2 chars)}

e.g. 19SmithJ83

 

Using the end of their admission number forces people to use the directory and not guess. It also allows for another J Smith to join with only a 1% chance of having to change the username of any existing J Smith in their cohort, leaving everyone unambigously named. You want to avoid anything like MSmith, JSmith and JSmith2, since 'JSmith' and 'JSmith2' are ambiguous.

 

Not yet had any duplicates for staff, but there's a potential for that, as well as the potential issue around how soon is too soon to recycle the address of a member of staff who's left.

The two initials of the college name, year the student started, First initial, first three letters of surname.

 

e.g.

 

EG20SHEAD

Students are first 4 of surname then first of forename and middle name. So, Daisy Jane Smith would be smitdj@ and her display name would be Daisy Smith (Pupil)

 

Staff are first 5 surname and first forename. John Smith would be smithj@ and his display name would be J Smith (Head of Mathematics) although not all staff have their job title at the end.

 

I'm looking to change staff display names over the summer so they all have their title, so it would become Mr J Smith (Head of Mathematics)

 

Clearly, some cases where staff don't have enough letters in their surname, one example could be Mr John Bell, his username would be belljj@

Staff are firstname.surname

 

Students are {Intake Year}{First 4 of Surname}{First Initial}{Iteration} e.g. 15SmitJ1. The number changes if there is a duplicate, so two john smiths, one would be 15smitj1, the other would be 15smitj2, if a student has a short surname then it just uses the full surname.

 

To be honest, I don't like the username structure but it was long established at this school when I started and I haven't bothered to change it. I don't see a lot of duplicates and the confusion only happens for the first few weeks of Year 7 and then they remember it.

 

At an old school we used admission numbers, this was easy for the students to remember (after the first few weeks of Year 7) but a pain if staff wanted to know who they were (if they couldn't see the display name).
