How is everyone backing up Office 365 Sharepoint Online files?

 

We have moved our teacher share online during lockdown but i'm wondering how best to back it up?

We're not. I mean we could, via Redstor, which backup our remaining file share / VM's. However too expensive. If setup correctly SharePoint Online has a good recycle bin and site restore process.

Yes I checked veeam and their 365 backup is per user and way too expensive if done that way. That's why I was asking to see if its possible to backup the shares somehow.

 

I tried the recycle bin but it didn't work when someone accidentally deleted a whole folder. Just errrored out, rather concerning!!

Is it a group SharePoint site as you only need the minimum (5 or 10 from memory) licence pack from Veeam to cover those?

Perfect yes thats all I need. The personal user shares can go on onedrive.

Yes, I have used two products at different schools in the past. One is Barracuda Cloud-to-Cloud: https://www.barracuda.com/products/cloudtocloudbackup and I have also used a solution by Land: https://www.iland.com/services/secure-cloud-backup-office-365/

 

Both products are easy to use and configure and backup all of O365 (Email, OneDrive, SharePoint & Teams), not just Sharepoint. We only deployed this for our teaching staff and relied on the built-in tools from MS for students.

Same here. We don't backup Students - paying for 8000 primary students would be ridiculous!

 

All of our SharePoint sites and Teams are backed up, along with all staff onedrives and mailboxes.

 

It is for disaster and malicious deletion only - we have only had to use it twice this year and it's paid for itself.

 

All of our remaining servers are backed up in Azure.

We are backing up all our Sharepoint / Teams sites using Backupify. Just over £5 a month.

Their fair use policy is a 1:1 ratio between users and Teams/SharepointSites.

 

Keep using it but don’t be surprise if one day they twig [emoji6]

I am looking at Barracuda cloud backup for Office 365. If we backup the staff we get the students free. I am looking for schools that would be willing to share what they think of this solution if you are already using it?

I brought Barracuda mid August due to the huge increase in Teams usage.

Very easy to setup. Just sign in point it to your office 365 and bobs your uncle.

I know O365 has retention policies etc but the comfort of knowing we have an indefinite backup is a weight of my mind.

As you say pay for staff and students are included free.

I like how easy it is to restore data and emails back to other users. Handy when the department head has all the department resources and shared them out in there own OneDrive, and then leaves [emoji34]

 

Barracuda was by far the cheapest.

I had quotes from other companies between 11.5k and 6.5k we paid 3.4K

The qnap offering isnt has good from first reading. How have you found the Synology backup? How many users and does it auto provision new users or do you have to do that? (Apologies for the questions)

I backup our SharePoint sites on our Synology NAS, very easy to use and cost effective, the Active Backup for Microsoft 365 App is free with no limitations of licenses.

Just make sure if you have the right model of NAS the Application is supported on.

Which model NAS do you have and what size discs do you have - also what size are your typical backups?

This is an interesting discussion as, like many schools, many have migrated to using cloud-based backups (e.g. Redstor) to backup locally saved data (e.g. on-premise servers) instead of (or as well as) local backup servers. But with now more data being stored within the Microsoft 365 eco-system how do you ensure that that data is backed up similarly?

 

I know that Redstor offer Microsoft 365 backup capability as part of our existing package, but when for example every user's OneDrive could potentially have 1TB of data (multiplied by number of staff and pupils) on top of the numerous SharePoint sites, this could easily get into many TB (or PB!) - so I dread to think of what the cost of that would be! Especially as 3TB capacity with RedStor is not cheap as it is.

 

Therefore, is the alternative now back to having (even) bigger capacity on-site backup servers (like Synology?) or are there alternative and much cheaper cloud-based options (than RedStor) to do this?

I'm looking on-site so even if we had a full outage, we have rapid local access to mission critical files in-addition to not paying £3.5k every year will soon add up compared to buying one of these with 200TB of storage!

 

Most Cloud to Cloud backup offerings appear to be per user, per year costs but with unlimited data, Barracuda at the moment is VERY competitively priced, Redstor wouldn't come close compared to my recent quotes.

 

I speak with experience of suffering data loss by a Tier-1 cloud provider who couldn't recover our data!

Just wondered what model / capacity of Synology NAS you are both using? And staff / student count etc.

 

As for calculating existing data usage / capacity within Office 365, is the best / correct way via:

 

Microsoft 365 Admin Centre Portal Admin Portal > Reports > Usage >

 

then:

 

[Exchange] Email Activity > Mailbox Usage > Storage

[OneDrive] OneDrive Files > Usage > Storage

[sharePoint] SharePoint Files > Site Usage > Storage

 

I assume that [Teams] would be a combination of (and included with) the above?

 

 

I am just attempting to get an idea of potential costs for comparison to other potential (local / cloud-based) solutions.

@RobFuller What type of HDD's are you using / populating your QNAPs with? Manufacturer / model?

 

How many users / data from Office365 are you backing up? Just interested to know if QNAP (or indeed Synology) recommend spec / which NAS models based upon Office365 user count etc? And amount of (concurrent) backup jobs etc.
