Who uses a backup solution for G Suite?

We are planning to move over to G Suite instead of using local storage. We already use G Suite but also rely on a local File Server which is getting full very quickly. No one wants to or has time for housekeeping their home drives or shared areas and we are currently just over 8TB of data!!!

 

Moving to G Suite as main repository of data should we be considering some kind of G Suite Backup solution?

 

We are thinking of implementing Google File Stream for Staff. My only worry is if we ever get hit by a Ransomware attack then File Stream would be another mapped drive that would get infected. Hence why I am thinking about backups.

We've been using Google Drive for a few years now. We've just recently turned off all network drives and home drives for staff. We made them move everything to Team/Shared Drive and Google Drive. Google Drive File stream is really amazing. You can open Microsoft Office Documents with it in their native app. Some a Word Document will open in Word on a PC. Google have also made it so you can edit Microsoft Office files via the browser using Google Docs/Slides/Sheets.

 

As a backup, we're just trialling Spanning Backup and Backupify atm the moment.

Vault does keep modified files. I don't see why you would need to add another backup system?

Our setting is:

"Keep files for 90 days from when they were last modified. After expiry, expunge files that have already been deleted."

(deleted files are recovered from the file recovery dialogue)

Vault doesn't really to the restore part of backup & restore. You can export from Vault, but you might want something that lets you restore items more easily.

At a previous school, we used GSuite and Google were entrusted to take care of the data, have the data protection, security and resilience that the school could never match. I know that is a big jump for many, but it was a decision based on risk. I think with an ever increasing amount of data going to the cloud, is there a point were traditional backups onsite/near site are a thing of the past? For example, learning Apps like Mathletics, PurpleMash and endless others are out there - do schools look to have their own backups of all those? That said, there's still a part of me that thinks if I have the money, I'd want to have another level of backup beyond Google, even if it was another cloud based solution. Perhaps you need to risk assess the data you have and backup only what you classify as to risky to leave to Google alone.

Thing is offerings like Backupify work on FTE same as MS so it would cost us around £3000 a year to have peace of mind. It's a big step to move everything to Google and there are some that are feeling jittery about it so having something like Backupify gives some reassurance.

Same reason our trust has just invested in this. Backupify has been nothing short of brilliant for us.

For those that have moved everything into G Suite from their local File Servers how did you accomplish this? Did you do it all in-house or get a consultants in?

It's not just a matter of copying everything across, we would need to look at current permissions and try to emulate these on Shared Drives in G Suite.

Hi Fiza, I know it's been a few months since this thread, I hope you don't mind asking; did you manage to move files to G Suite drive? if so how was it and if it's all working as expected? The reason I asked, I'm also in similar as you, where the file server disk usage is getting out of control as no one seems to be doing any house keeping of theor home drive and shared area. Our file server is 6.5TB and am considering either Google drives or One Drive.

We just moved everything across ourselves. Drag and drop and hope for the best. Google doesn't provide any tools for mass upload and sometimes things might error but most of the time it was okay.

 

We're now using spanning and it's really good. You can easily restore work by imitating a specific user and viewing their drive contents from several months back. We've used it a few times now to restore work.

We've moved a lot of planning to Shared Drives this year with Google and staff have just dragged and dropped what they needed. You do need good upload speeds!

Looking at this, we already have had instances where someone has trashed an item then deleted the trash and then needs it back and there's no way to do it. Have enabled vault now but coming from how easy Veeam is to use, vault is very obtuse to use.

For those asking about moving files over from the data server. Install backup and sync on the data server, add the folders you want to backup, disable the 'ask if a file gets deleted' tack box, files will sync to Google drive > computers and update with any changes. Completely disable the bit for local Google drive sync and off it goes. I have done this at a few schools now.

 

After it has synced to Drive > Computers, create some shared areas and drag your cloud based folder and files into those.

 

BTW at all my schools we use Spanning backup, it also backs up emails, calendars blar blar

What cost per user does Spanning equate too? Even the 'non-profit' figures on the website are beyond the school I worked at.

This is from memory as I don't have access to our quote but seem to remember it was about £15 per user. But that is for unlimited space and also includes Shared Drives. I only backup the main teachers and office accounts as everyone else is saving into a shared drive area that will get backed up by one of those main accounts.

 

When I was looking at alternatives a while back like Backupif, I found out that the initial cost was for a limited amount of space and Shared drives was an extra, this might have changed as I looked a good few years ago.
