snagrat Posted June 11, 2018 Posted June 11, 2018 Ricoh are offering one of my customers a £500 service to remove the hard drive from the copier for Data Protection reasons. As they have 4 machines going, this isn’t cheap. Is this really needed. What gets stored on the copier that may require this service?

Jamman960 Posted June 12, 2018 Posted June 12, 2018 What happens if they don’t keep the drives? Surely It’s in Ricoh’s best interests to have the drives wiped as soon as possible, a breach occurring after handover would surely cost them now that GDPR is in force

Two cheaper options from my point of view 1)Take the drive out yourself and wipe it with BLANCO or similar software and then put it back in the machine 2)Find out what drive it takes buy a new drive and install the new drive for them. Either option will save you a good few hundred pound! 1

If they're not owned by the school but are rather supplied 'as a service' I think unless the service agreement specifies that there'll be a charge for this kind of thing, the company would probably be obliged to securely wipe the drive anyway. If it's not EoL why would you replace the hard drive in a copier?

This is what I have done several times with Ricoh copiers. Infact they actually said - "do you want us to sort the HDD or to you want it?"

Not that that would be as expensive as the £350/500 options Thanks
enjay Posted June 12, 2018 Posted June 12, 2018 This isn't a new / GDPR-related service. When we last got rid of some Ricoh copiers, they offered us three levels of wipe - the first was a simple "delete" which was free, then there was a secure wipe which cost and then a bigger charge for destruction of the drive. The original agreement will make reference to these charges, so I'm not sure you've got much comeback on them. It is a risk assessment thing. The drives could hold copies of anything which was printed on them, although I suspect actually recovering that data to something human-readable is easier said than done, so unlikely to be something anyone would actually do (even if you really wanted to hijack data from a school, there must be an easier way which is more likely to get something "meaty" anyway). If you want to get them wiped and are taking new Ricoh equipment, see if they'll include the cost into the new lease.
Gurtlush Posted June 12, 2018 Posted June 12, 2018 i removed the hard drives in ours and wiped them, i then put them back in(as said videos on youtube it's quite easy) The drive is normally behind the network interface panel. For 5 copiers they wanted to charge £1500!!

Edutech98 Posted June 12, 2018 Posted June 12, 2018 If the school have "rented/leased" the MFD then Ricoh would be the data controller so it would be there responsibility to remove any data. If the school own the MFD's then I'd just wipe them / remove the drive myself - there is nothing Ricoh can do about that if they belong to the school?
synaesthesia Posted June 12, 2018 Posted June 12, 2018 Ridiculous. I mean, for a secure wipe, they'd surely be able to reuse the drive if it's OK so surely they'd need to charge less than destruction, which is dropping it into a shredder... But clearly it's just a money making exercise.

adamsund Posted June 12, 2018 Posted June 12, 2018 We returned about 30 Ricoh devices during the last summer holidays and before they were returned, I went through the menu on each one and securely wiped them. There was a number of options on them to choose from depending on how secure you wanted the wipe to be. Left it for a few hours and that was it. Unless something has drastically changed since then, it’s a matter of course to wipe each device before returning them surely?
