Tidying up the staff drive of pictures and videos and finding 1000`s of Pictures of school events that will never see the light of day again. Staff seem to have the mindset of Event = Take loads of pictures = dump them on the school network for them to be never used again.

Anyone have any bright ideas as how to manage this?!

Go Pro seems to be the PITA at the moment, we have around 30 of these and they take up so much space!!

Get a cheap NAS drive with a load of large cheap sata drives and create shares strictly for photo/video and archive for staff? I can understand to an extent the want to keep photos as in the long run they will be looked back upon, although I'll agree, sometimes the amount of photos seems a bit too much!

I use batch processing in the fireworks 8 we have to resize them down to like 640x480. Batch processing will do a folder at a time.

That way they take up a whole lot less space. I think it could be done with ACDsee too.

Seperate drive/nas/external hard drive for photos.

 

My last school had a separate external hard drive attached to a server. All photos were saved onto this. Staff were told that any folders of photos saved on the staff drive would get moved.

It took about 6 months to bring staff round to that way of working.

Yes, we banned photos from our local storage. all must be on google drive now.

We insist photos go in the media shared drive which has a folder for the current academic year as the only place they can save.

 

Photos found on the sweep of staff drives are removed (they get told when it's happening)

 

Once on the Media drive they can be 'archived' after a suitable period

We've just started pushing photos to onedrive similar to how others have mentioned doing the same with google drive.

I work in a small Special Needs school and the number of photos that we have is mind-boggling. The only thing more mind-boggling is how many of these photos are then duplicated because several people decide they need their own copy! Every so often I use SpaceSniffer (SpaceSniffer, find lost disk space the easy way.) and look for all JPGs over 4MB in size (*.jpg;>4MB) and then feed each folder into IrfanView to reduce them a bit in terms of resolution to something a bit more appropriate which often helps me reduce the average file size to a megabyte or so but with a high enough resolution to be printed to A4 or used in Word or PowerPoint.

 

I've just run SpaceSniffer and there are 9.2GB of JPGs larger than 4MB! Think I might do some batch-resizing today. ;)

Yeh I need to do this again used to use the Windows XP power tool image resizer do do this and it was awesome!!

 

Need to use something else now. Will look at Faststone and ifranview.

 

Quite often you could save 90% space just by resizing to 1600x1200 and adding some jpg compression.

We use NXPowerLite to reduce filesizes of documents and images across our file server estate.

NXPowerLite can optimize your organization’s PDF, Microsoft Office, JPEG and TIFF files by carefully removing excess data from them.

They also do a MS Exchange version to reduce the size of mail attachments.

 

I then use a custom Powershell script to call Handbrake CLI version. That moves all video files to an archive directory (in case things go wrong [haven't done so far!]) then encodes them with the iPod profile to the original location. that's saved masses of space alone, as we have video going back decades when VHS tapes have been transferred onto the network!

Are you seeing a lot of duplication on your photos between staff? It might be worth turning on deduplication if you're on Windows Server/whatever-supports-it. We saw a decrease of around 30-40% space utilised in some cases which helped... a lot.

Regular search of Photo share for filenames beginning "copy".

 

Staff have to request access to archived photos so that they are advised of our local rules about the use of pictures once pupil has left.

I also work in a special school so photos are useful evidence for us. I do make a habit of moving photos away from staff accessible areas to a photos drive that only I can access. This stops staff from making copies of photos and also means that the photos themselves are protected from being deleted by mistake.

Similar problem here all the evidence is photographic or video because of the unique pupil needs. I appreciate that but wish they would organise it a little better - no need for multiple copies of the same evidence :mad:

Especially with modern phones and cameras capable of producing images of 4000+ pixels wide resulting in file sizes of 4MB+. I like to batch resize them down to something a bit more respectable but still more than big enough to print A4, which we never do anyways but A4 is a good standard to go for I think.

The initial storage of photos isn't that much of an issue IMO, especially with deduplication enabled. The problem comes from backing it all up - that extra data takes considerable time to backup, and without expensive backup systems this can soon mean your backups take longer than your backup period allows.

thats why we only keep current academic year on "live" server. we only backup daily to a NAS in another building. its only our critical data that is also sent to Redstore. However, I am only talking about 150GB of photos per year so not too unmanagable.

 

BTW why does the site keep missing letters that i have typed,? i have resorted to composing posts in word and then copy/pasteing them into the forum

ooo any chance I can get a copy of that please? We've blocked video files on our main shares for a while now & have a seperate server for videos, but staff forever forget to change the camera settings down from 1080p60/ultra high & we end up with massive files just for 10 minutes worth of recording!

Would help a lot :)
