Print credits - Papercut

Hello all, we have been slowly bringing our printing under control. but have done as much as we can without enforcing quota's. We are moving from safecom to papercut over the summer with a new printing fleet.

 

We have increased the number of colour printers in our fleet with the aim of reducing queue's at the centre of our building where students have access to the only colour printer(other than the graphics rooms).

 

How do you go about charging for colour printing (free mono printing) ? what levels of credit do you give and how do you manage heavy colour printing teams. small quota with top-up cards purchased by the team or do students just get a £XX budget and they have to make sure they can print within this?

 

any advice greatly received as this is going to be a big change for the school as previously it was pretty much restricted by physical access to a machine!

We currently give £100 per Student that is expected to last their School life.

 

This is being cut down to £80 but altered so in year 7 they get say £20 of the £80.

 

All big jobs are sent to reception to print on our cheaper per print machines. We've limited what Students can print and waiting on Toshiba/PaperCut to prevent Students from doing any photocopying at all.

 

Limit copies to 1 for Students

Limit page per job to 25

Limit large files

Disable colour email to print for Students

 

Staff are also cut down to 24 copies per print job and I think 25 pages.

 

Come September we will be doing more cuts because we've advised as much as possible but our printer costs ever quarter is still high....

We do 10p per colour, 0.5p for mono. Its roughly double the real cost of printing.

 

Staff £5.00 per week. Pupils £3.50 per class (30) per week.

Staff get 5pound a week at my school which is enough for black and white, they should be using the photocopier for heavy duty printing

 

Students I would give them 2 pound a week at least but for year 11s possible 3 depending on coursework and display work

1p per sheet b/w, 5p per sheet for colour. Students get £2 at the start of the year and if the need any more, they pay.

Staff get £10 at the start of the year. When we went Papercut 12 months ago, the idea was when that £10 was used up, they were supposed to plead their case to SMT as to why they wanted more. All printing should go via reprographics. In reality, what happens is staff ask for more credit and they are given it. By my reckoning, we've printed about 1/3 more that last year - so much for the reducing printing idea.

 

Our biggest user is in admissions 24,935 pages since August last year. Our next biggest is a teacher at 13,423 pages - clearly he hasn't heard of reprographics, where the nice lady will print anything on her fast and superior quality printer.

I have configured Papercut slightly differently.

 

Pupil get a weekly allowance, the amount depends on which year they are in (with a maximum accumulation of 2 weeks). The finance manager get a automatic monthly summery of the pupils printing costs.

 

Staff have to select a cost centre (department) which is charged for the printing/photocopying. Department membership comes from AD groups, and is automatically set by the AD sync feature.

 

Heads of department get a automatic weekly email report, giving a summary of who has spent there budget. It is the responsibility of the head of department to manage there budget (some HODs have asked for a staff printing quota).

 

The finance manager get a automatic monthly report for each departments costs.

 

Papercut was set up this way so that staff who are members of multiple departments, only have 1 login.

 

Because we are using "follow me printing", and all users have to physically go to to the photocopiers, and then login to get there printing, this has reduced wastage.

Here the costs are:

1/5 black and white and 6p colour with a discount for double sided. Students don't have access to any laser or inkjet printers, only staff do but for this they pay double.

 

For allowances we do:

Students - 50p per half term (If they run out they pay)

Staff - Use 'shared accounts' which are departments. The money on them comes out of thier department budget and was based off past usage. Reset again every half term.

 

We've had this system in place since half term. Very pleased with the effect, some departments however just carry on regardless. Its there money at the end of the day so lets see what happens when it runs out!

 

PS as above, its based on a follow me printing system where both staff and students must claim jobs. Saves a lot.

We make our students get authority from a member of SMT, but they are now just saying "yes" to everyone without actually checking why they've run out!!!

 

Do any schools actually charge students real money for extra printing or is that too controversial?

We have someone on the service desk most of the time and emails get sent from teacher to us so we can put credit on, or they log a job on the help desk.

We give 50p each half term. If students go over they pay. We're only starting our second term but only 1 paid for more last term and most didn't run out. SEN students we put another 50p on if they run out as they type more up so print more.

2p for A4 Mono 5p for A3 Mono, 8p for A4 colour 12p for A3 colour.

 

Students get £3 printing in year 7,8,9 per term. £5 in 10,11 per term and sixth form get £10 per term.

 

If students run out they need to get their teacher at the time or the head of year to allow them to get some more credit, the amount depends on the member of staff as it can be charged to their department.

20 student prints a day (no access to photocopiers)

 

students have to pay 20p for colour prints.

 

EDIT: we print around 6k pages a day.... excluding photocopying... reading your replies this sounds terrible!

Our MFDs are located in staffrooms so students cannot access them but we have them setup to automap based on staff security groups with a GPO. they are also not in the printers list so no one can manually add them.

We opted to allow our students, stops them asking us to do it for them. Papercut tracks the cost and the device is just outside our AV office so high volume of staff walking past. We boxed the machine in so students can't remove paper or play with doors etc.
