A member of staff complained to me earlier that her Office 365 mail settings have changed. the options to Reply / Forward etc have gone from the top of her message and now appear as a drop down?

 

Any way of reverting it please?

MS have updated it as per their notes in the message centre.

 

One of the changes has been to set the "reply" to be "reply to all" as default but that is easily changed by users.

 

If they click on the cog -> options -> reply settings they can select "reply" as default instead of "reply to all"

 

365 is a continually updated platform so your staff have to be aware that changes can come in unannounced, but it is free :)

We've had big issues around this - and have open case with Microsoft about reverting it back - Yes - the user can change the default back to Reply - but that's upto each user... No powershell to force it to default - WHY can't the default remain as it was and let the user choose IF they want Reply All as their default!

They seem to be listening about the problem it's causing and are hoping that the developers will make the change - I've stressed how dangerous this change is and how it's already led to some very embarrassing moments!

As discussed, I am providing you with a copy of our scope agreement for your issue. If you do not agree with the issue definition/scope defined below, or would like to amend it, please let me know as soon as possible.

 

 

 

ISSUE DEFINITION

 

You have an O365 tenant and the issue is that the default Reply action in OWA was changed to Reply All. This generated some mail storms plus some embarrassing emails/replies, so you would like to have this reverted or at least to have a way for admins to control the behavior programmatically, because having to go through each user settings and change the option is very time consuming.

 

 

 

IMPACT

 

Recently we've changed the Reply All button in OWA to be the default action instead of Reply. This had a dramatic impact on your environment, because users were used with Reply so this generated some mail storms plus some embarrassing emails/replies. I have to add that the majority of users (1200) are using OWA.

 

 

 

SCOPE AGREEMENT

 

If the issue is O365 related and technically possible, this case will be considered as resolved when the default Reply action in OWA will be changed to Reply instead of Reply All or at least we'll have a way for admins to control the behavior programmatically. The above applies if this issue is not generated by a 3rd party component or by design limitation.

 

 

 

ACTION PLAN

 

Thank you for your time today on the call. As advised, I’ve now raised an internal request to our product engineering team to flag the issue and see if we’re going to change the behavior globally or provide with a way to better manipulate the setting. I’ll keep you updated with the progress.

Unfortunately this change was made in the source code some time ago and only now it got activated with the OWA interface change. It appears it is here to stay, however I will push through all my available channels to get some positive turnaround. At the end of the day, if this is what our product engineering team will stick with, it is not much we can do. I’ll let you know as soon as I have other updates.

 

 

 

Meanwhile the workaround I suggest is to advise users they can quickly change the behavior using this link (https://outlook.office365.com/owa/#path=/options/replysettings) (they need to be logged on to OWA first).

 

 

 

Additionally, there is a way admins can manipulate this option programmatically, through an EWS script, however it is not really straightforward. I can request that script if you are willing to go that route.

I'd be interested in this script.

 

Teachers are bad enough at not sharing things the shouldn't anyway, this just makes it a whole lot easier to break the DPA and get in serious trouble!

They're holding off sending me the script until all possibilities of reverting the change or have an admin switch in the back end for admin to decide the default have all been exhausted

Since my last email, I’ve opened a design change request, it has been re-evaluated by our product engineering team and we believe most users are using the Reply All action. So the decision was made to leave it as it is, at least for the time being.

 

 

 

Good news is that we are working on exposing the feature through powershell, to make it easier for admins in changing the option for multiple users. It will be available this fall.

 

 

 

Regarding the EWS script, I would not go that route, given the additional work required compared with the powershell switch that is due to be released.

 

Please let me know you thoughts.

I did reply - stating that i'm sure MOST users ARE now using the Reply-All function as this is NOW the default that Microsoft have pushed us with!!

Just logged a service request about this. If we all do it they might pay attention....

 

However I do also think users should pay attention :)

I agree that it's an odd decision to make it the default, bearing in mind no other web/fat client has Reply all as the default that I've ever seen.

 

If Reply was the default ever since O365 was invented, it doesn't really hold water that Microsoft says or thinks Reply all is used more. I find that very difficult to believe.

 

It would have been more sensible to have both visible, as it was previously, rather than hidden in a context menu.

I got this reply from Microsoft:

 

PG is aware of it and is working and the Product Engineering team are working to implement the powershell command with Set-MailboxMessageConfiguration and will enable the IsReplyALL parameter to be able to be changed
