Email issues with new members of staff

It sounds like they have reinstalled the Authenticator app and the new app has the generic account setup but not the full 2FA. It will show an account for your school domain but not give a 2FA number. It could be the MFA wasn't setup correctly. If this is the case the only fix is to reset the MFA for that user and they set it up again. To do this find the user in Azure AD, go to Authentication Methods and there is a button at the top labelled "Require register multifactor authentication". I have found that trying to setup MFA totally on a mobile phone is painful. Better to get them on a PC and only use the mobile device to setup Authenticator. -
Not a past user but it normally depends on when you stop paying. If you redirect the Domain name to your new host, the PrimarySite web pages will still be there, and it would be churlish for them to refuse to supply a direct URL. But if your contract is over and you have stopped paying it will very much depend on the company and how much grace they give.

I want to cull it more, the issue is we have many buildings, not linked, so people get arsey about walking. And this was the first round after removing printers on desks, which everyone seemed to have, so I'm glad to have managed what we did. The deal was first sorted in 2020 and we have added to it in the last 18 months. I think we get a good deal as we joined a collective, but that does have added costs so we don't recoup the full savings. Swings and roundabouts really. I think we have saved around 25k over 2 years and I think that is conservative.

We have a mix of BP30C25FK, MX2651FK, MX3061SFK, MX5051FK, MX6051FK and a single MXM1055FK beast. Volumes are ridiculous. From 1st September till yesterday: 2,018,665 total pages; 143,253 jobs. That is across copying and printing.

Same as localzuk, we consolidated down to fewer devices with Sharp. We had something silly like 95 devices, down to 22 MFPs, 1 in use pageWide and 2 temporary pageWides. We have a few desktop devices in that 22, you wouldn't want them on your desk though, but they are still A3 capable and have scanning and copying built in. Our cost is down to £0.0190 for Colour and £0.0019 mono.

We are going for Dell Lattitude 5340s (actually got 5330s but they upgraded). Not cheap though by any stretch of the imagination. They have proved themselves though as a member of staff has managed to pour a glass of orange juice on one and it survived and another has managed to effectively bend it and it is still operational.

As others have said, what is needed is a review and update of how exams are done, not a how do we run exams online like we do now. IMO, I think the whole assessment and awarding needs revolution and an overhaul, but I think that would be a step too far for many in education. We all know that just moving real world processes to digital do not always translate well, partly because of the medium but mostly because there are much better ways of doing things when they are digital. But, my prediction is; It won't happen. There will be a consultation, all sensible recommendations will be ignored, a grand plan will be made, it will be horrific, the idea will be ditched as impossible. Or there will be vocal minority that will yell about how handwriting is important and kids don't know they are born so should be forced to write. -
Not OP but I'm presuming to empty all deleted items from all mailboxes. If OP's place is anything like mine, staff use them as a holding folder and never remove anything from them. Had a PA delete 20,000 emails from their deleted items after we pointed it out. That isn't a mistype and that was just a clear out, not emptying the folder. In response to OP, you could use a retention policy, but we aware that the policy will only kick in from the number of days you implement the policy or when items are moved to that folder. Yes, I get that. But if a phisher sends an email pretending to be that email it will get passed through your system with no checking. If it was an internal system I could understand, but you have specifically stated from outside. Pretending to be from an email is a phishes So if someone guesses that email address, or that email is farmed from a compromised account, then email will go through to users with no troubles at all, even if it is the spammiest of spams or the phishiest of phishes.- 13 replies

Is that a bit of a gamble though? If an actual spam/phishing email came through it would be waved through with no checks. Many attacks use real emails gleaned from dumps, lists or from compromised address books and email accounts so the email could well be out there. There are no other checks happening there except the address.- 13 replies

Just to add to this, the link in the email didn't work for me. I had to go to the Accessed Apps list and change access to "Azure Active Directory" to Trusted. If you click into the app listing it isn't clear that you have to click the top bar that says "Access to Google Data". Then, as if by magic, it worked.

How are they sending the email? From their own system with your email slapped in as the sender? If so, you need to add their details in to your SPF record so it is marked as a trusted source. EDIT: If you have direct access to one of the emails then copy the headers and paste into MXToolbox email header analyzer and it should point you in a good direction.- 13 replies

The main issue I have is it isn't managed, unless you put it on your network and then they tend to blame anything on GPOs or our network. Their image is of 2015 LTSB, with no program to upgrade and it went out of support in 2020. The PC is the server and everything has to be able to talk to that or they just don't work, but the PC has to be rebooted nightly to get any updates and to just stay stable so often other devices get upset as they tried to contact when it was rebooting. The system is just a bit flaky if you go beyond a single screen. It has that feel of a system that has been forced to expand and do more things but the underlying structure is still basically relying on it being on a single PC. Administration is a pain as the UI is weird and doesn't follow conventions. It also has very limited scope for bulk editing, so there are lots of record by record updating, which isn't helped by the weird interface. Reporting is good unless you try to do anything beyond what they have thought of. Custom reports exist but can't handle anything beyond basic building blocks being put together. The cloud bits are a bit hit and miss. Syncing to the app can take ages, and you have no idea if it has completed or not, except that you only have a handful of staff showing, even though a different part of the app shows the correct number of staff that are meant to be there. Annoying really as when it works it is good and the visitor side works really well. But there are so many little niggles that are tricky to sort it just feels a struggle.

Not wanting to stick up for Inventry, they are really trying my patience at the moment, but I think they don't over write any marks. Also there is a manual process to select which marks should be imported or not so it should be caught and I'm pretty sure if you have the late reasoning on it can write different marks. I'd have to check that last one.

Comments i read elsewhere said it does depend on the quality and freshness of the egg, what the chickens have been feed and what surface it is dropped upon. I might give it a go in the morning!

This loop keeps checking if the Team can be found and that the GroupID isn't null or blank. THis was the issue I was talking about before. Teams would be created but not yet available so the script would fail. This basically makes the script wait until the team is found. -
Hi Sameer, Keep an eye on the employment section but I would find it very unlikely you will find a fully remote role in a school as a lot of the work is hands on and schools are still very much based on face to face internally. Universities or large Colleges may be a better bet. Hope you find something.

You are correct that you can't add multiple owners when creating. But you can set the output from the new-team to a variable and then use that to get the ID and add more. Something like: $newTeam = New-Team -DisplayName "Teaching Group 1" -Owner "[email protected]" Add-TeamUser -GroupID $newTeam.GroupID -User "[email protected]" You may need to add a loop that checks if the $newTeam.GroupID is null or blank and add the new user once it has a variable as I found the Teams powershell cmdlets to be slow. -
Depends on what automation is needed? For the cost and what you can do, MS Forms and Automate can't be beat so I'd be tempted to tell them to get used to it. There is JotForm that the school has previously used. Typeform comes up a lot from companies, it is very pretty and nice to use but I know nothing about the backend. Ultimately it comes down to what they want to do with it and what they are trying to automate.
