External supply staff taking registers?

How do you handle this? We have quite a lot of staff offf long term and we are constantly getting supply teachers in. We were issuing paper registers but this is not working well enough.

 

How do you do it?

We have "generic" SupplyStaff accounts (numbered) within our MIS. An external system logs who specifically was issued which credentials on which day. Passwords are reset each time an account is reissued.

Long-term supply are given their own account.

 

So... they do it the same way as any other member of staff would, basically.

If we have a TA or HLTA in the class, they will take the register using their SIMS login. We don't give access to SIMS to supply staff.

We have generic accounts for supply staff to access the MIS. Each morning our cover supervisor will assign any classes required to the generic accounts, this allows the supply staff to log in and take a register and log and behaviour events etc. Without this level of access, surely we couldn't expect them to do their job fully.

Consistent stable of supply teachers and named accounts. Absences are reported at 8am, first lesson is at 9:15. That's more than enough time to create an ad-hoc account if there's a new supply teacher.

 

We don't provide generic accounts that can access data about people.

Regulars have a named account, everyone else has the register taken by another available member of staff. That's usually a class TA or HLTA, but occasionally office staff or me.

Create supply staff logins in a separate SupplyStaff OU, disable the accounts automatically at the end of the day/week, reenable when the complain

Our MIS (RM Integris) doesn't allow us to create generic supply accounts, and will only (as far as I'm aware) allow accounts to be created if they're attached to a current staff personnel record.

 

When I've asked support I've always been told to revert to paper registers. Obviously, this doesn't happen. Another teacher in the vicinity logs in and I see and hear nothing

If RM Integris allows you to set staff personnel records to "Do not include in Census", then create matching staff personnel records to allow you to create supply accounts (if you decide you need them).

 

Bromcom has the same requirement, and the above is the work-around.

There is I think an option for exclude from census in there somewhere, but that's not really been our problem. Ours is more that we don't have time to set up single-day supply teachers before they need to take the register at 8.45am.

 

I suppose we could use a dummy account in there to create a generic supply account, excluded from census to avoid mucking up our numbers. Maybe I'll consider that next time the question arises.

I worked at a school where they tried setting up a number of dummy accounts each week for supply staff and once used they where logged and disabled so there was an audit trail of each user. this did work but they ended up with a massive amount of single use accounts.

At what time does someone in the school know the name of the supply teacher? How long does it take to setup an account? And how do you get the login details to them (whether generic or not)?
