SAGE Cloud and Google Less Secure Apps Access

Our Finance Dept want to send electronic remittance slips via email through SAGE Cloud. We are a Google School and SAGE have said that the email account to be used to send the Remittance Slips must allow "Less Secure Apps". I am reluctant to do this so I wondered what other Schools who are Google and use SAGE do? The alternative is to use Outlook but our entire Finance Team are working from home this is not an option and we don't normally use Outlook as everyone uses Webmail.

We don't have Google, but we are using Sage 200.

 

The Outlook integration (at least how our lot have it configured - each email goes to draft and needs manually sending) is not recommended.

Can you set up an on-site SMTP relay, accepting emails only from Sage and with GMail only accepting emails from your IP address?

 

"Allow less secure apps" might be a per-account setting for GMail, so you might not have to set that for your whole domain, although if there's one account you'd think needed to be as secure as possible it would be the one used to send bills to parents. iSAMS have, very sensibly, recently forced a move to using 2FA for any account with access to home contact details / email addresses, and their mail services provider (SendGrid) requires 2FA on accounts, too. This is after some schools were targeted - compromise an account with access to send emails to parents, send a quick email to all parents along the lines of "Update - our bank details are now XYZ, please send payment...", even if only a couple fall for it it's a good amount of money for some.

We have a similar issue with our wage system, the email payslips require less secure apps to be turned on. This is only turned on for the account that the finance department use to send payslips.

We don't use SAGE for parents to pay anything to us. It is mainly for us to pay invoices to companies we buy goods from. The remittance slip that would go out via email is to say we have paid. I have emailed SAGE to ask why they need to do it this way.

Don't have SAGE but for our finance system i created a sendgrid account. If you sign up through Azure you get 10K free emails monthly which should be more than enough.

Do you have to hve Azure licencing for this? We are a Google School.

Don't believe so, you can create the sendgrid account without any other active services. May have to have a payment method registered.

Is your SAGE system hosted internally on your own servers, or on a single server by your provider with an IP dedicated to you?

If so, you could make use of the Google Google SMTP relay server. You can specify the public IP that can connect to it in your Google Workspace admin settings. Then you just stick the server details and from address in SAGE. It doesn't need authentication.
