Hi, we are looking at getting PaperCut soon and the last time I used it, it had an annoying PRINT ALL button on the photocopier interface that staff would press to release all the jobs queued at the machine (both theirs and the students regardless of who's they were or if they were needed). This created so much wastage and defeated the whole point of having PaperCut at all.

 

Has this feature now been either turned off or customisable? I know you could disable it on the Release Stations but this need to be done in the back end or advanced options on the firmware interface on the copiers.

I have just looked on our papercut and there is an option there under options and general that says enable "cancel all" and "release all" buttons which can be unticked. This looks like it will disable these buttons directly from papercut to save you logging in to each of the copiers advanced options

It is still there. The staff member needs to take responsibility and their department charged for everything they pay for. Sounds like jobs need to be set to expire after a day and students need to retrieve their own jobs.

 

Looking at the manual it looks like it is possible to disable it but this is based on the Copier, it is not universal.

Hi TechMonkey. I will consider dropping the expiry on jobs. the problem is some staff printed from home via email and didn't like jobs expiring before Monday when they came back. As we are a primary school we need the younger children to get their jobs released by the teachers. Only the older children can cope with passwords at the machine.

 

We will be getting Sharp so hopefully they will be quite compatible.

I'm just testing the enable/disable and we have Sharp copiers so will let you know.

I presume users can only see their own jobs, the way you say it when they login they see everyone's?

 

There is no way to remove the release all, unfortunate its something you will need to educate your users on. You can skip the front page when you login where it shows you device function, print and scan and it says print all there and on the Sharp's you can create a separate button for print release which will list the jobs. Not got a machine handy to try something on, let me know if you get stuck.

How I had it set up at my last job and how I was planning on having it here was that each year group teacher was a print release user for that year groups students. e.g. Johnny's work would show up in his teachers queue so she could print it for him.

 

Having students work separate from the teachers sounds interesting. How did you configure that?

 

I did ecudate the teachers but they didn't listen. Its all too habitual to click Print All when they are in a rush and the majority of the time they want most of what they have sent anyway. Schools seem to prefer to monitor rather than physically restrict with real money. That's why I'm keen to physically prevent these issues rather than hoping teachers will not get into bad habits.

Hi ReverentCreature, this only seems to work on the release stations not on the photocopiers sorry. We have it set up here so as when a member of staff logs in they can only release their own jobs, students mainly print to printers which don't have the hold/release queue enabled and are only used within lessons. You could set up a different user for each of the teacher's year groups, e.g. year6 so then to release student printing the teacher has to log in with year6 instead of their own account which would separate the students and teachers jobs

You can setup different timeout/deletion rules for different queues via a print script. You could have a dedicated queue for mobile printing that has an extended timeout so print jobs sent Friday will be available the next week.

 

If teachers have the responsibility to print all then they need to be educated in what impact that has. That being said if prints are coming out that are not needed then you should use one of papercuts many features to stop that before the job is held in a queue.

Or you could simply allow students to release their own print jobs, perhaps give them enough papercut credit that they start to understand the value of print/copying and manage their account accordingly.

I suspect teachers find it hard and time consuming to release jobs for other people as it will be harder to find their own print jobs and the time taken to print student work and then find the student is all taken away from time when they could be teaching or planning for the next lesson.

I am sure by default when you login to a device you will only see your own jobs.

So the way I have it set up here.... children cannot print. Teachers must print for them if they need it. Each member of staff has a card and can only release their own jobs. Each year group gets a set amount of paper for the week. Each member of staff gets £20 credit per week. 2p for mono page and 5p for colour. Timeout for jobs is 8 hours I think.

In our case the Print All button is there, but only prints what the logged on user has queued, not everything. I guess it depends on how you have the rest of papercut configured.

JRowley as we are a primary school with very young children we have it so that the teacher/TA can print work the children in that year group have sent to the printer. Therefore the user doesn't just print what they wanted but also what they didn't want, what was sent in error, what's no longer needed, what the child sent in error, what the child wasn't allowed to print... etc, etc.

I would just set it so that the teacher cannot release jobs for the students group then they only see their own. You could set them up as release managers on the admin page (just rights for that area) and they could release the jobs that way if they wanted for the kids?

Have you considered setting up a separate user account for each year group and have that be the print release for the student accounts? You could return the staff accounts to being standard ones. That way they only login to print student work when they actually want to print something specific, so should encourage them away from print all.

I'm happy to say that this issue has now bene solved in the latest release of the software 17.3.5.

 

On the devices page there is the option "Show button to release all pending jobs". Unticking it removes the "Print All" button on the photocopier screen. Users can still select or multiselect print jobs which means they are actively choosing what they need to print and what to cancel rather than getting in the habit of running the lot off.

One of the other additions in recent versions is the block release of jobs if machine in error (under devices). This stops jobs been release and held on the local machine if there is an error i.e. no toner. Stops jobs when error is resolved been spat out.

That sounds a great feature, always been a problem and you end up finding out staff reprint at another machine and the once the toner gets replaced their printing comes out and is just binned.

 

Do you know what version that is in? We’re on an early v17 and don’t recall seeing that option.

It's defiantly in 17.3.5 but came in early v17, without digging through my notes I could not say but know it wasn't in 16.3. Now weather its manufacturer specific, the example I have is using Sharp machines. I can check back if you are struggling, but if you go to devices and then select on, under where the queues are, above the tick box for account confirmation its there.

 

17.4 is due out in December I do know that.

We're on 17.0.5 and I can't see that feature listed under devices, so guessing I need to get PaperCut upgraded.

Primary school here. Years R, 1, 2 and 3 don't have Papercut accounts, we get them to save to a shared drive and Teachers/TAs print from there.

Have you seen the "Allow this user to release jobs printed by others (Delegated print release)" option under a teachers account? It allows teachers to release jobs at the photocopier sent from students. E.g. the Year 2 Security group in AD. Or a custom group that you have made. Here all our users sync from AD.
