[sims] Batch import student email addresses

Quick question,

 

Is there a way to batch import student email addresses into Sims?

 

I have them in a nicely formatted CSV file ready to go.

I cant find any csv specifications for @matt40k project. Any ideas? The manual button does not work on the latest release

There is a matching screen where you match your files columns to the sims date fields. Nice and dynamic.

Just another question @matt40k, what should I match the UPN to? is it the admissions number?

You shouldn't be using UPN. Its a protected field and should only be used for cross gov joining not within a school joining - use the admission number as this is only unique to your school or use the SIMS internal person. id.

Thanks again for this useful app. The official Capita version was terrible and incredibly un-user friendly! Yours was much better.

hey if Matt (or anyone else!) is still around can you assist? I am trying the tool but it has not worked. I eventually got it to apparently import, but although it seemed to import, all the email address fields are blank. I used I go through the matching process then when I click ok it just closes. I couldn't use student id as whatever I put (s, S, or Student) it completely rejected the file.

 

when the import appeared to finish it opened a browser window as shown, that had no names attached. Can you help?

 

edit it says 'status' 'NOT FOUND' on the import screen. So why is it not finding them if I have the admission number there? It shouldn't be a leading zero problem should it? I thought sims allows for that. (I'm importing from CSV). I think the status bit is actually referring to ie student, employee, or contact. So I somehow need to add that column but as I say above all variations are rejected.

Just discovered your SIMS bulk import utility and it's saved me having to use that crappy SIMS patch method.

It's probably leading zeros. On the field-matching screen, using admissions numbers, it seems to find the correct student even if you haven't got the requisite leading zeroes. However, at the next screen (where it lists all the records that are lined up to be updated) it says NOT FOUND for any where the leading zeroes are missing.

 

I've just managed to do a whole year group successfully, so it does work.

thanks just had another go and got it to work, thank god. I've been a week tooing and froing with capita patches and still not managed to import using the patch! Out of curisoity even though I'm not going to use it now, where would you put the CSV_Import folder they tell you to put in C drive etc? I put it on every drive we have, and in the SIMS>SIMS folder, adn when running the patch it still imported nothing. I had all the correct headings in the csv file.

 

FYI (& my future self when I google this topic again next year) I got the Bulk Import programme to work by inserting a leading zero as you suggested using excel (took a cit of messing about) then on the match screen I only used Surname, Forename, Admission No. Email addresses. Everything else I didn't select. It then matched and imported! Brilliant

 

ps just check the pupils that already had a personal email in sims as it knocks out the Primary and Main for both email addresses so you have to quickly change the preferred one, but doesn't take long.

On the matching screen I just used admission number and left names out of it.

 

RE: the Capita patches. When I've used that in the past the CSV_Import folder containing the csv file is just in the root of the C drive on the SIMS server. The CSV file itself has to be named exactly right, with exactly the right column headings, too.

Any ideas?

Any way to use the tool to remove the email addresses and re-add them as I've now got duplicates on a lot of them (some with main and primary set to T though!).

I have an SQL script that will do the job, use it every year to make them primary. Am at home now so will post it tomorrow.

You can import email addresses from a csv, using the new 'Data in' option in SIMS, but you cannot modify or remove the email address that's already there. I need to change the student email to 'Main' so salamander extracts it for SDS. I didn't know the email had to be set as 'Main' - bloody annoying.
