How do you give out your users and password to people?

 

At the minute i just get them to write the temporary password down and tell them that the school email link is on their desktop, i then let them use it and let me know if theyve got any issues.

 

Im thinking it would be nice if we had a sheet of A4 with their logins but also a quick guide on the basics.

 

Anyone else do this?

Currently we do as you, but we're looking at doing a lil starter pack for IT (Bigger than 1 page) with all the basics like user names/emails, how to use helpdesk, projectors, remote desktop etc etc

 

So anything that's a "err I'm new" kinda question should be answered :)

Ive just found my original computer guide i created when i first installed this network.

Just adapting this to try it out.

 

Problem with having more than 1 or 2 pages is that people wont read it. We proved this when i was a apprentice by doing a little experiment.

We show them 1 to 1 how to use everything, password wise its set to change on 1st log in so will prompt them asking for new password. Obviously we enter it originally. We show them the basics like emails etc. Also they have a lengthy training session on how to use the VLE.

Out of curiosity don't they teach first day then? We get them all coming up tutor wanting logins, ready to teach for P1! :(

Here's what we do:

 

Any new staff have an induction; they are then brought over to me to be issued with network and SIMS login along with Door Access control card.

I advise them the first time they login, to load Microsoft outlook and just click through the wizard to set their mailbox up.

 

I then have an email template which I send them, that explains use of the network drives, how to access email , files etc off-site.

 

Seems to work pretty well.

Well they normally come in for a day before they start teaching plus the VLE training can be worked around their timetable.

We have a generic supply staff login which they can use in an emergency which will get them onto the computer and be able to login to SIMS to take registers.

other than that, they're always in some time before they start teaching to get put on the personnel system, have ID etc checked so usually do this at the same time, so all ready to go the first day they teach.

 

It's usually just first day back after holidays that can be busy with setting up new staff , but more often or not I get a list of new starters/leavers given to me.

We have an InfoPath form set up so all you have to put in is the first name and last name and it auto inputs the username, email address and sims username.

It has information like our extension numbers, and then the AUP agreement with a signature area at the bottom which we get back and file.

This year we've been focusing on developing our mobile friendly IT website. Students and staff will be able to activate there accounts online in September. We plan to text out a link to everyone so they can view the IT induction guide and login on their phones.

Our new staff joining us in September all seem to come in for a day or two between now and when we break up in 3 week time. We take their photo for their ID card and provide them with their logon details to the network, VLE and e-mail etc.

 

A couple of days before the whole school begins, we have a new staff INSET day and I generally have a 45 minute slot. This is where I go through some of the house keeping - logging IT requests, accessing our remote desktop, use of the VLE and I also go through some of the major headlines from our e-safety and social media policies as we all know they won't read them.
