Cashless catering and guests

Looking for ideas and solutions to the following...

 

We have recently become cashless! So staff/students have biometric/pin access to buy lunch. This works fine however when we have agency staff/cover staff that sometimes wish to have lunch and causes quite an issue as they have no account.

 

How do you deal with external guests and cashless?

 

Any ideas welcome 😊

Create "cover" accounts and assign one to each of them.

We have visitor accounts that are allowed to go into overdraft for the School visitors to purchase coffee etc using the School funds.

We've got a 'hospitality' account and we just use that for our external cover people.

Regular visitors eg regular cover staff, invigilators set them up as visitors, odd extras were charged to a hospitality on the till and they paid cash to finance to cover the dinner

Hospitality account for guests, same as in the old days when it was written down on a bit of paper but easier cos it can all be pulled off as a report against the hospitality account after service.

 

For people like invigilators/peri music teachers that want to use the canteen but aren't employees, we create an account on the cashless system alone and take their fingerprint. The only limit is that they can't use online payments, but we have a reval machine to take cash.

Thank you for the replies. Yes we intend to have guest accounts but need to know how you take payment. We have reval machines on site but need to know the best way to take payment. For example...

 

• An external cover teacher is in all day
  
• do they put money on when they come in (informed about cashless and given a pin number)
  
• do we do a lend and then get payment at end of day
  
• if they use the revals and don't use all the money do you do refunds?
  

 

Just trying to set guidelines up so its as smooth as possible.

We have a budget account for Visitors, and a simple button on the till which the catering staff can use to charge transactions to this account, works like a charm. :-)
