When I worked in a school I got it the week before we started. To get the kids used to me, I had too add them manually and all in a line in their 1st lesson of ICT. not a bad system, as it worked, and it made the kids know who I was, and I got to know their faces and names for future reference.

Who knows :p As long as they get added in SIMS in time for the first day (Which.. they will) then Salamander will automatically create their AD accounts for us. I have to do sweet FA aside from printing out the usernames.

You might need to check their admission status if they don't appear they might not have "accepted" yet which is what she may have meant.

Can I still create a csv even if they haven't been accepted? I'd rather get the bulk of them done even if there's a bit of tidying up to do.

I'm not sure. You may need to delve into pre admissions reports or look for the tick boxes in some places that say include pre admissions.

Far too organised Tim, its usually done on the night before the kids are back with us, as for the kids, I had the CTFs for all the kids back in April, and then just got another copy of them at the end of term to then update the records so we've been playing with them for months in Serco :)

Yes you can. When I am at work I will upload my SIMS report that delves into pre admissions. We had ours through on our CTF in June and have been sitting in pre admissions. We already have them in Assessment Manager doing stuff.

Varies school to school, but your pre-admissions should be going in NOW at minimum. Your data manager will be way too busy towards the end of August to do anything with them thanks to exams.

 

By now there should be:

 

1) Pre-Admissions group for new intake (don't forget one for Sixth Form!)

2) Students with basic details like name and UPN in the pre-admissions group.

3) All students starting in September set to Accepted with a start date within the first few days of the new Academic Year.

 

OPTIONAL: CTF files imported from S2S from primary schools. Chase these up now or they won't give them to you and there will be errors that need fixing to stop duplicate contacts, etc. Better to have them in now then go hunting for key stage results, etc when someone goes to create targets and other data related tasks.

 

So long as pre-admission students are Accepted you can work with them in most parts of SIMS. The bits you can't work with they will appear if you set the effective date or whatever you are doing to their starting date (such as adding them to a form group, you'd change the date in Pastoral Structure to when they start).

 

On the date they start, you admit the students by setting them to On-Roll. Don't do this before the year rolls over else you will see the pre-admissions students skipping a year and going into to Year 8!

I got a list before the end of term by asking for all pupils "on roll" and then setting the date for the report to 4th September...I got all pupils new and old with their new class details...

There's a filter selection for unaccepted new intake that has just given me the ones I need.

Yep, all CTF's have been entered and all ready to go. I think this is the earliest we've ever got our end of year procedures all sorted.

We had all new students on our MIS by the middle of June, with the odd amendments being made between then and now. It would send me mad not having all of the data on the system in plenty of time!

For those SIMS users, have you inputted that info into SIMS? Such as children's usernames and school email addresses? Or are you planning to give teachers print outs of usernames?

Yes E-Mail. I look after the network. Our Database Manager takes care of all aspects Serco. As a result she gets the CTF data from our feeder schools and updates Serco Facility Administration/ePortal [soon to be Progresso]

 

Once the Serco database has been updated the Database manager exports the data and sends the resulting CSV file to me for importing into Active Directory.

Do you not have access to Facility? If you do you just need to be able to swap Data Sets job done you could have seen next year (assuming someone had made it :) ) I spend a bit of time at this time of year swapping datasets back and forth sometimes 2 years around to check exam stuff etc....

I do have access to Facility but I use it so infrequently that I prefer not to touch it. I did the required training for it 4 or 5 years ago and in now seems like a distant memory.

 

I only know what I need to to be able to fix it when it goes wrong.
