Maths Resit - Census Activity

Hello,

 

Opted to join this forum (again), I last was here as a techie - now a School Business Manager. However, know you'll all welcome me & the support on here far outweighs that of direct support from Capita (in my view). Certainly for out of hours!

 

I have a student on a maths resit course, however in the courses panel there is no "School Census Activity" listed for the course. I am after some guidance on where in SIMs I need to enter it, I assume this needs to link to maths to ensure the Condition of Funding is met.

This should be entered via course manager (tools>academic management). Usually students should be assigned to the course automatically through enrolment in the relevant class however lots of places this can go wrong (I am assuming they are allocated to a specific class for maths resit?). If they are in a class sometimes the level in course manager is wrong as the timetable export has all the KS5 courses linked as say A-levels where this is a GCSE. The course needs a QN (qualification number) as well.

They are in a class which is links in to the course details. There is a QAN/Discount code entered. I have compared with the English resit and all appears to be filled in.

Sorry I think I misunderstood.

You can add these using the classification box in course manager - it is under the QCA codeset.

I have attached screenshots -the classification box is filled in - I have included what is reported in the courses panel for a student. I would expect to see a "School Sensus Activity" line attributing the hours for the course & type of activity as Maths...?

We have a from date in our entry not sure if that makes a difference?

Just tried and no joy. Our En resit doesn't have a from date either. But that pulls through fine!

Hi All,

 

I'm really struggling with this and can find/get no help from SIMS. I've just taken over as the data manager, and have not worked on the timetable before and this is our first year with A Levels and re-takes. I have 2 alevel students doing an English GCSE resit and 1 doing Maths. They are being taught separately so have added these lessons as interventions to enable them to show on their timetables. I've checked their qual and non qual hours to include these extra lessons.

 

In prior attainment, it has them as not achieved - so I then use UK equivalent for the funding exception?

 

And if anyone could shed some light on how I add these to the gcse course it would be hugely appreciated - I have no idea where to start! Do these re-takes need to be their core learning aims?

To manage GCSE resits on the census:

 

- Add their grade in to Update Prior Attainment. This can be automatically populated From Exams Organiser. Those 3 or less must be set to No Exemption and their grade recorded as Not Obtained.

 

- Next add the Resit course in Course Manager. Chances are SIMS has already put the students in with the existing Year 11 GCSE course, which is fine if the resit course is the same as the Y11 course. Otherwise you will need to create a new course. Either way, ensure the correct QAN number is in place and accepted for the resit. You will have to set an end date on the old QAN and a start date on the new QAN if the Classifications box is yellow due to having two active QANs at once.

 

- Ensure the course has Qualification Hours (80 I think?) and Auto-Update Memberships ticked for the next step.

 

- Add the resit class to the Classes panel if it isn't already in place. Then run Update Course Memberships to update the student membership list. Then ensure all resit students have a Start Date, End Date and Planned End Date. If the End Date is before the Planned End Date, the Status box will be yellow and it will need to be corrected so both End and Planned End match (typically your last day of the summer term). The Start Date needs to be before census day or it won't be picked up.

 

Students who were in Year 11 the year before may have a second entry ending in the previous academic year with Year 12 next to their name, even those who are not in the resit group. Ignore it, this for when they were in Year 11 and it won't appear on your census. Focus on the membership starting this academic year.

 

DO NOT TICK THE NON-FUNDED BOX. The only students who should have this box ticked are those who already have a grade 4 but are trying to improve their grade further out of their own pocket. Students with a grade 3 or less must not have this box ticked.

 

- Now re-calculate the guided learning hours in Post-16 Programmes of Study.

 

- Next go to your census and click Re-calculate in the Learning Aims panel. Select Populate Planned End Dates from Course Manager and let it run. Then save and click Create & Validate.

 

Check for errors and that your students are appearing in the Learning Aims Panel with a learning aim status of Continuing for GCSE. You will get an unclearable warning on the census for every student 3 or below to ensure they are on a valid re-sit course, it's just a reminder.

 

- Sit back with a cup of coffee and start panicking about the next census task on the long list!

The report from the COLLECT site report these students are not following a maths course. Clearly they are - any idea why this isn't being picked up?

I don't handle the COLLECT side of the census unfortunately. That is done by our support unit.

 

Best guess would be to check you don't have the unfunded check box ticked for those students in course manager. Also check the membership dates, your P.End should say 31/07/2019 with no learning aim status. Make sure the students are appearing in your re-calculated learning aims panel on the census screen then try to resubmit.

 

UPDATE: I found this on the Devon LA website. If you have access to the timetable in NT6 go to Plan -> Subjects and see if you have an activity code for the resits. http://www.devon.gov.uk/nttosql_11732.pdf

Dear all, thank you so much for your responses. I believe this was probably cached information I was seeing.

 

I updated the QAN, reran the census and got the query. When uploading to Collect and rerunning the reports (different computer) the reports show the student is enrolled on a maths course.

You'd create the class in Nova-T, but if you add them directly to the course manager membership panel then it's not really an issue as far as I know.

Please check: maths GCSE grade achieved is D-G / 3-1, U or NR and the student is recorded as not having a funding exemption. If the student is not undertaking the mandatory re-take of this subject, they may not be counted in funding calculations.

This is not an error, it is a query and it's justto remind you to double check everything. A note in COLLECT to say all is correct will suffice.

Isn't that a query, not an error?

 

Most random one I had was where it was claiming I didn't have students on a resit course, but they were. Eventually tracked it down to the QAN attached to the course expiring in August. 2017! Whoever did the census the previous year had failed to spot it.
