New member of staff

When a new member of staff starts the school they will need a user account, email address, multiple other accounts, ID badge and door access fob.....

 

Would like to keep record on a database and would like to hear what other school do.

I've got a paper form for HR to fill in:

 

This gives me:

The name they want to be known by,

Their job role,

Either a user to copy from or a series of tick boxes to define what access they need.

 

I create it all, fill out the second section confirming access and recording username, email address, other account names and passwords (all systems force change on first login) and fob no. and hand it back to HR.

 

The new starter signs it, HR takes a copy and gives a copy to the new starter. The form also has a brief AUP and all the login URLs and telephone numbers for support on the back

A database of checking the progress of enrolling new staff? or a database of new staff members starting?

All ours is fully automated but then again we do seem to turn over a lot of staff and currently have 350+ FTE.

 

Our SQL guy got a Intergration database that pulls from our HR software every 60min during the day, checks wether the EmployeeNumber is not in AD then exports a csv which a powershell script pulls in and sets AD user, email, home folder. Other databases handle the ID card and Access control.

 

As far as history goes we keep the csv's for about 2 months and the AD object has dates written to the extension attribute when the csv was imported. There is good tracebility in case HR Dept. questions anything :-).

The notes section is where they put what door access they need, if they are getting access to email before they start etc
