Are there any official rules/regulations that dictate the period that data/user accounts have to be kept for in respect of pupils and staff members who leave the school? I really want to keep the system clean of old accounts and data but don't want to simply delete stuff if that is not correct! Thank you for any guidance. Regards Henry
Fazza Posted September 4, 2015 Posted September 4, 2015 Check with your exams department on how long you need to keep their user areas in case exam boards need to re examine any coursework etc.
robjduk Posted September 5, 2015 Posted September 5, 2015 I bought a QNAP NAS with about 8TB for around £400 and just dump the lot on that every year for about 6 months. Not aware of the legal requirements and just do it as a little service really.
forkies Posted September 5, 2015 Posted September 5, 2015 I buy a usb hdd every year, and at the end of August put all the leavers for that academic year (documents) on it. Then it goes in the safe. I keep accounts disabled on the system for 6 months, this is so if there is any reason for accessing the users school email account (looking info up for replacement staff or child protection related) I can do it quickly without having to do a restore from backup. I also put the scans of student files on the hdd too, then label it and it is will be destroyed after 7 years (I think that is our requirement for student files legally).
ITGURU Posted September 5, 2015 Posted September 5, 2015 Student AD accounts are deleted at end of august, but user area's are archived (have the last 5 years worth) and emails are exported for 1 year in case anything needed then deleted. Staff accounts disabled , user area archived and emails exported just in case needed.

Currently keeping heir account there for a year after left but disabled?
