always read the small print...its not often you find a reasonably honest copier/printer sales person. A lot of contracts start of nice and cheap until you read the small print that states you must increase your usage by 10% per year and all sorts of other sneaky things.

only used a trial of acronis disk partitioning software and it was easy peasy to use. just a shame eveyr company charges more as its a server OS you want to edit.

you can make a msi out of the papercut client with some tweaking i think. I assume the reason for the lack of msi, regardless of how easy it can make life is simply because running the client software from the network share means when new client software is released there will be no extra admin as users will simply access the network share and be using the latest files all the time. As for documentation being better, i hate reading manuals my self but having configured papercut a few times the manual and online kb contained everything i needed but i expect my install wasnt as advanced as most here.

Uniflow is a great system having used it in the past at a few places i have been. Now one of the issues with Uniflow is it can be expensive, go and compare it to the cost of papercut as adampat84 suggests you can find a list of local resellers here papercut reseller uk - Google Search or talk to the copier dealer you know and see if they can provide papercut (or other options) The worst thing about Uniflow is being tied to Canon machines, thats not to say Canon machines are no good its just that in 2 years time you may change your mind and want to move to Konica or Ricoh etc and you cant as uniflow wont work on non canon machines. To answer the question is a bit tough as a lot of canon dealers will bury the cost of software into the copier contract so it will always be hard to get a price, from everyone i have talked to they say its not cheap

I have spoken to complete imaging when sourcing a Ricoh copier for an engineering firm I was contracting for. I would go for Complete imaging as the guy i talked to (Lance i think) was honest and did not try and sell me anything i didn't need. They also did not bother me as i still had not made my choice up after 3 weeks, it's nice to be left alone. My contract with the engineering firm ended but two months after i left them they had a top end Ricoh installed with papercut installed on the machine for secure print release. Follow me printing was not enabled as they only wanted/needed one machine. I still maintain the company’s website and often get dragged into offering opinions on IT related matters and the copier and papercut have yet to cause them or more importantly me a problem. Plus they are local to you. If it was me i would look at what follow me print software you want/can afford then find out what photocopiers it works on and make my choice. I would consider: Ricoh Sharp Lexmark K Mita K Minolta

its very easy to setup the scanning to email plus you can import the information so it really takes no time. If you cant do it and your contract covers it then get an engineer to do it but they could do it from remote if you give them access. Its all done through the web admin. btw sometimes the password for the machines is aficio.

The only company to offer Follow Me printing is Ringdale Connecting People and Information - FollowMe® Printing, Building Access Control Systems, Print Servers, Biometric ID System, Fax and Workflow - Ringdale UK this is because they have registered follow me as a trademark. Interesting fact, a friend of mine worked at an office equipment reseller, they went for a lot of tenders concerning print/copy management using various bits of software such as Equitrac / PaperCut / Pcounter / Pharos. Now pretty much all the tenders specified the solution offered MUST have Follow Me printing, and such is the way of tenders they couldn’t offer anything but Ringdale software because of that. Silly really as all the other software has its own method of Follow Me. If you ever get a chance to read a tender you can see how poorly researched they are as people copy and paste features (and trademarks) from websites. As for what software to use my options would be Equitrac or papercut, papercut gets fairly postive feedback on this forum so that is where i would start. Contact your local reseller or any UK reseller(s). Follow Me (or what ever you wish to call it) has many options for users to get at their secure prints, having looked into it a while ago papercut offers a lot of options including intergrated software, dedicated pc bases software, usb card readers etc. That would be my first port of investigation.

one thing that is important is to consider the future, do you want to have door access and copy/print release to be using the same card/biometric reader? its no good if a few months down the line you picked a very closed system and staff have to carry around a card for printing a fob for door access and use a finger print for food I have seen this happy a lot and its always the company/system that is put in last that has the most work to do. My advice would be find a system that is based on MIFARE or if it has to be biometrics go have a chat with the companies you plan to use to see if the systems they sell can be used with biometrics (biometrics does seem to be expensive and often getting a good read from a finger is hard work)

As already mentioned watermarking is a new feature well worth checking out, plus if you have a new MFD you should know papercut (and other software) can probably monitor the copying/faxing/scanning on that MFD as well. I know some sites use a seperate page that prints the username on but thats just a waste of paper and doesnt really help the problem. Some printers used to have this option built into the drivers, i think canon often did this.

lazy staff are often happy using follow or find me printing solutions so they can pick the print up out anywhere. Perhaps its worth looking at.

I bet you could save a lot of money by getting rid of these little USB prints and getting some well placed MFD's That and enforcing B&W print outs only and educating users on how much printing costs. plenty of software packages to do this (already mentioned in the thread)

A good idea but be aware of some things. 1. pick the make /model of photocopier carefully not all photocopiers send out all the information on what is happening so for example a machine may only tell you its A3 or A4 but can not tell you if it is a colour job. 2. card technology, consider if you are going to use the cards anywhere else (catering / door access) can you use 1 card for everything? the answer is generally yes if you talk to the right companies. 3. you will save money but planning a new lot of copiers is tricky consider where these machines will live (hot spots) what about repographics? will they need new machines? will they use swipe cards as well to charge the correct user/department the work? 4.embedded options. Copiers have small linux OS's running in them these days consider an embedded solution these will only get better over time and also have a better chance of reading what is going on in the copier. Image single sign on for scanning copying printing etc.. 5. costs - to save money look at just B&W machines? really look around for copier dealers some of them make HUGE margins. Software? is pcounter the cheapest (or even the best) option? perhaps you could save even more money and move hardware and software over to another solution how can the school say no to saving thousands. You will save money i know sites that installed print monitoring software and charged for photocopiers they MAKE money and it pays for its self in under a year. 6. plan for the future, dont get tied to one make of machine for long, lease the copiers.

Interesting, you should have a look to see if papercut can do this as printlimit pro is just papercut rebranded and a few versions behind papercuts releases (to date 9 minor releases and 1 major i think) so perhaps the added funtionality is available. Something to look at anyway. I'm not sure (as i have not looked at it) but perhaps advanced scripting will do what you want Chapter 17. Advanced Scripting

I was just about to point that out you will find some differences but a lot of the time its just a different badge on the front.

That is the job of copier sales people and wondering how much profit to make on a deal. Canon machines are good solid machines with (normally) very high quality prints. did you get quotes for canon machines and its software and compare against other options? if the savings are that big i expect the decision maker couldnt ignore the saving. You mention card authentication in the first post, make sure you check what cards the canon will use. Some cards cost lots of money and then consider the future perhaps you want to use these cards for catering or access systems? can you easily do that using the canon system or vise versa? Another thing is you dont want to be paying £5-10 for a new card for staff or student when they lose it or at the start of a new school year..beware of teh hidden costs and traps.

Uniflow seem's pretty good but it did used to cost a silly amount of money no idea on costs now.You are are also locked into canon copiers instead of having the freedom to change copiers or add different makes/models as time goes on (for example perhaps a Sharp or KM machine will better suit the repographics dept.)
