Ours was just an internal database incase of a fire etc to keep track of anything we felt was of value (PC's, cameras, etc) - I just set one up in MS Access (yes it is being backed up to a remote location!).

CamelMan Posted January 16, 2013 Posted January 16, 2013 Just anticipating someone jumping in with the "yeah but if its saved locally what use is it in a fire" comment We had a trial by a company that wanted £3k for a fancy system using Ipods and QR codes - problem is behind the shiny front end it was a standard database. Taking that as a starting idea and customising it to what our bursar wanted took about an hour to setup in Access. You could download a free QR reader for your phone and print them off yourself if you wanted to be clever - I found it quicker using standard ID tags and typing the code in. I think Spiceworks had something in there as well - could do something in sharepoint maybe.

No documentation unfortunately - I only ran a quick proof of concept. There were two ways - using the QR code to hold a unique number (so no difference from a barcode or ID Tag which is what the company were doing) or storing information about the item in the code (which is what I was testing). I used QR Code Generator to generate a code stuck some information in about a PC, printed then scanned with QRDroid on my phone. It worked but I found it too cumbersome with the 600 - 800 items we would need it for. I'm sure someone who is a bit smarter than me might be able to make it work for them!!

Just I know that I'm currently going through checking our school inventory for "anything with a plug" at the moment, but it does all sorts of other things too, so that might be an option. It's in the SIMS Finance Module that it can be found and you can inventory things on rooms. I'm just looking to see if it does some kind of barcode scanning too so I can produce labels when something has been inventoried I can easily check it off a list later and what not.

Skinny Posted January 24, 2013 Posted January 24, 2013 I use a simple spreadsheet with conditional formatting setup to alert me when things need checking like projector bulb hours + filters and health checks for non domain teacher laptops etc. Thinking of moving to sharepoint soon though and using alerts on there. Not sure if this is what you mean but I believe in KISS and this is about as simple as it could get. Works for me
Rawns Posted January 24, 2013 Posted January 24, 2013 If you use SIMS and FMS at school, you could always try the Equipment Register module that's a part of FMS. It also allows you to pull in any equipment you order through FMS which saves a bit of time. Plus it's there and ready to go.

You are talking about School Asset Manager, we went with this at my previous school and it was very very good, largley because people wanted to use it ("ooooo shiny iPod"). But it does cost of course

If anyone has any other suggestions please do say As I mentioned previously, if you use SIMS check the finance module out for the asset management side of things. I'm pretty sure most other Management Information Systems will do the same somewhere along the way.
