online document store

Im not really sure what Im after here, but here goes..

 

We have a network share drive that has all our documentation created over the years.

 

Its a bit of a mess, and finding stuff takes ages. All of it is word docs, apart from the odd xls of serial numbers etc.

 

What Im looking for, is some way to have all these documents stored online, and somehow indexing them so they are searchable by keyword etc.

 

Does such a system exist? What should I be looking at?

I'm really not being facetious here when I say this, but... VLE? Bit of work to set up I suppose but it's more or less how I've sold our VLE to our staff - it's a more organised shared drive that you can access from home, with other benefits.

this is just for the 5 of us in the IT dept.. and I want something that is going to be dynamic.

 

Something that when a new document is created, it automatically appears and is indexed and searchable

Yes, but it might be a little overkill. You can always go for SharePoint Foundation (free), see how you get on with it and upgrade it to Enterprise later if you're having fun.

Honestly wouldn't know... which is about as useful as a chocolate teapot :/

 

I have not set Sharepoint up in some time, but from what I remember Sharepoint services can be installed on windows servers (and is free)

 

Albeit things may have changed since then...

downloading 2010 ent just now from the licensing site so will just shove that one.. just making a 2008r2 VM to have a play with, so will just delete it if it doesnt work out..

Although not automatic, Mediawiki can be used to store documents (or create them) amongst other things as well!.

Will Google Desktop be any good? I know it doesn't have bells and whistles but it can search your docs easily enough.

Im gonna give sharepoint a whirl just now.. The idea of an online store is tempting..

 

Although failing at getting it installed just now, its failing at the prerequesite install just now, is there a HOW TO guide I Can follow anywhere?

To run SharePoint Foundation? SQL Express, IIS, and a few other prereqs - nothing major.

 

With a bit of work you can actually install it on a Windows 7 or Vista machine as well, though that's intended for development only.

Google apps is a fantastic way of organizing files - the search is so good.

We use a wiki for our ICT Support portal - useful for keeping passwords, serials, how to guides etc in the one place.

 

Just got to remember to keep it up to date as much as possible.

You could use it but what version of Windows are you using? If you've got windows 7 then the search facility is amazingly good. If you've got XP and a reasonable spec machine then I'd just put on the Windows search - it's pretty good in the last version (4??) and if you haven't got a decent spec machine then I really wouldn't put Sharepoint on it -you're adding a webserver and a SQL server which need a fair bit of oomph to work well!
