Hide Email Address from the 'To' in a sent email

we have just given email to students and to start there were no problems but recently we have had students email the whole school and with it the email addresses of everyone else in the 'To' section. Is there any way that i can hide all the names, so if they send an email like this again then nobodys name is shown?

Assuming your email software has the option (most do) put the list into Blind Copy (BCC:) it then won't appear. It really p*sses me off when County send a mass email to all of the schools and put the email addresses in the TO: box. You get two pages of addresses of junk before the meat. Invariably this is then printed out 500 times!!!

 

Mind you, I acquired Richard Branson's personal email address because a school friend emailed me a joke and Mr B was included on the list.

 

I suspect it may infringe the Data Protection Act.

we have the option but i'm not able to tell the students that they have to put the addresses into the BCC because they just wont listen and its alot quicker to just press 'To..' and get the GAL up.

I'm not sure if this is only an Exchange feature or if it's available in other systems. Could you "hide this address from the Address Book"? That way people would need to know what the address was.

Sorry, I've obviously misunderstood the issue. In my system all of the names are in the address book but none of them actually show the email address in the To: box, on send or receive. Not sure how that is set up as I'm not with my server at the moment.

Another solution is to limit the amount of people that can be emailed at any one time. I'm sure that is possible with Exchange.

Yes we only allow pupils to send to 5 recipients.

To change the global maximum recipient limit to its default value

1. Start Exchange System Manager.
   
2. In the left pane, expand Global Settings.
   
3. Right-click Message Delivery, and then click Properties.
   
4. On the Defaults tab, under Recipient Limits, click Maximum Recipients, and then type 5000.
   
5. Restart the Microsoft Exchange Information Store service.

Obviously set it to 5, or whatever value you want, and not 5000.

I think this would apply to it gobally which may not be ideal. Have you got a seperate store for students. If so you can create a policy based on that to restrict the students to certain amount of recipient.

 

Another way would be to modify the recipient limit using ADModify, this would do it for bulk. Admodify.net support exchange 2000/2003 so you should be fine with this. The individual account's limit takes precedence over global so this might be the best method, its what we use it here.
