We've been asked to look into a tech-based solution for registering clubs. They don't want to do it on Bromcom as it's too much of a faff. Ideally it would be an addative system where kids sign in /or are signed in as present, rather than checking names off against a generated list of the 100 kids who signed up,  only about 15 of which still actually show up on the regular. In the first instance it just needs to function like a fire evac list, but they also want to be able to report against it to find out what club attendance looks like over time.

Before I go reinventing the wheel, does anyone have anything good they're using for this?

We've been looking into getting a whole separate clubs management system for our Wraparound, as it's got huge and our MIS Arbor is a PITA for managing clubs.

 

Might be a bit OTT for your scenario, but we're looking at getting either iPal or Magic Booking, both of which are under £100 a month, but take a percentage on card payment fees. 

 

Alternatively, if you just want sign in / sign out, do you have a visitor management system, eg SignIn App? You could get the children to sign in on that as they enter, or, sign them in yourselves and manage your evac list that way.

Not a technical problem.  This is a management problem. Along with safeguarding etc and seems like management want a solution but can't be bothered with one and fobbed it off on IT to do. Sorry but that's my 2 cents/impression I'm getting.

 

IT already gets put upon way too much for things nothing to do with us.

 

If their chosen MIS doesn't offer the functionality, that's a SLT-level problem.

Genuine question - Why is Bromcom a faff or any less of a faff than another system?

 

If you are saying 100 kids are potentially going to a club session, how will that list be any different in another system. Bromcom already allows club groups and then to allow enrollment on specific sessions. It sounds like it's not being used properly.

 

We have kids in clubs (either we add them or they self register) - payment processed at time of booking (if required) - and the club register (which is automamtically created) is done either on laptop or teacher app in seconds.

 

Tempted to agree with the sentiment above, this smell like pushing admin onto IT.

Because the way they know how to do take a club register on Bromcom is, go to Groups, filter for clubs and trips, find their club and then go to actions>attendance. 

Apparently the original plan was to timetable all the clubs so the teachers would be able to register it the same as a teaching class.

Sounds like someone has decided to half-ass the admin of this club/clubs, if you don't mind me saying. 

 

If they're not entered onto the system correctly, then sure, you're not going to be able to do the register. And if you don't know, out of a list of 100 possibles, who is going to attend your club on any one day, how do you know you're going to have enough staff to be in ratio for childcare regs? 

 

I would seriously consider pushing back and saying that the club needs to be administered properly. All of ours we have a set list of attendees in advance, but then, all of ours are paid so the admin is tighter.

We have been using Signin App successfully for this for the last year.

I share this sentiment.

 

Get them to do some training.
