Removing the ability for children use Outlook (in Office 365 - web)

Is there a "simple" way to remove Outlook and any ability to send recieve emails for ALL pupils in a primary school

 

Need to remove the Outook icons from here Copilot | Microsoft 365 Copilot if possible - if not then at least they get an error when click on it!

 

I would love a simple way to apply this to all pupils and to newly created pupil accounts automatically.

 

I have read about removing the Exchange license - but that would mean poweshell scripting as need to do this for close to 600 pupils and wont stop it on new accounts

 

Also read that can remove MAPI from their mailbox in Exchange online - but again messy powershell scripts etc.

What would be really nice would be some policy similar to all of the "teams" policies that could do this and then assign the policy to a group!

You could set a mail flow rule in exchange. If the sender is a member of this group > block message, and choose to either include a notification message (e.g you are a member of the pupils group and therefore not allowed to send emails), or just delete it so it goes into the ether.

You could also add one for being a recipient too. If recipient is member of pupils group > block message. 

 

Quick and dirty way of doing it, and probably other more elegant ways, but this just sprung to mind. Doesn't solve removing the Outlook icon though...

Removing the licence is the correct way to do it. You should also be assigning licences base don groups in M365 that way you can not add Exchange to new students.

I thought I could only assign the main "Office 365 A1 for students" license by groups. All children need that license - its just the "Exchange Online (Plan 1)" sub-license that I want to remove.

I did wonder that but the staff would like the "app" gone if possible.

Do the above just blocks their ability to send/recieve emails - may have to go this route if needed though

You can customize the licence components when you assign it to a group.

As others have mentioned I'm sure the way is with licenses. When I rolled out M365 at a college we did not want students using certain M365 apps, the way we used to license was with a script which basically searched un-licenced users then apply correct licenses. You could potentially filter where students had a mailbox enabled and remove licenses for those that have got exchange mailbox.
