Managing own admissions - keeping track / ranking

We have this year started managing our own admissions. This means we have to keep track of who has applied, get info like their school history, data collection form, criteria they are applying under etc. Then email all applications, respond within certain timeframes.

 

It is proving very difficult and complicated.

 

Does anyone do this and do you use a database or is there a database product we can purchase? We use google not MS. So we are using google sheets to rank with formula (distance etc) and then we have to keep track of emails, which we've sent out, who has replied, who has replied but left off certain pieces of required info, number of spaces in each year group, offers we've sent out and so on and so on. It's not easy. (we use sims as our MIS but I don' think that has anything for this type of activity)
