SIMS - class teacher permissions filtered to only their students? (GDPR)

Hello,

 

Our DPO has suggested that class teachers should only be able to access data for their own students, e.g. contact details for parents etc.

 

For years I have been aware that the class teacher group gives teachers access to basic details (read-only) but for all students in the school. Does SIMS have the options to filter for staff as long as they are assigned to their reg groups via pastoral structure?

No, and it shouldn't be considered anyway. Teachers are not only responsible for their class, period!

We view this differently to your DPO. All teachers are responsible for all students in the school and may at any given moment have to work with students who are not in their timetabled classes. They should therefore have access to all but the most sensitive data for all students.

 

They may not just go trawling through records without a legitimate purpose. To do so would be a breach of data protection principals and professional standards.

Thanks, I thought the same, and the fact SIMS doesn't give you the option suggests it's not a requirement.

There is multiple reasons why a class teacher would need details for students outside of their timetabled classes, but in this case the simple answer is No it's not possible in SIMS to limit it (or quite likely any MIS).

I was going to defend the original person who asked if this is possible because it is sensible to look at all data users can access and question if this is appropriate however, I then noticed that the original requester was a DPO and they should know better.

I despise GDPR, I'm definitely not a DPO! Once of my schools came to me with a question that their DPO raised with them.

I was referring to the person who asked you as a DPO not you, I apologise for not being clearer.

 

Everyone who touched data should be looking for ways to minimise its use and distribution, but a DPO should have a better understanding.
