Welcome to the forum.

 

I have a question - please can you tell me if the pricing calculator refers to the size of a backup, or the total you store? Some providers charge by the size of a backup, regardless of how long you store it (so you could end up with 20 full backups in there, but are charged by the size of the individual backup). Others charge based on the total data stored (so, if you keep 20 backups, you get charged 20 x the individual backup size).

We only charge for the total storage so if you choose multiple backups this will increase the amount of storage space but as it compresses the data and you can set incremental storage this increase will be limited.

Thank you, but this prices it way out for me then I'm afraid as it would be significantly more expensive than we pay at the moment.

How do you currently work? How much do you have to store?

We currently back up our data using Veeam to an onsite NAS (for day to day quick recovery of files etc...). We then copy this up to Azure archival tier storage using CloudBerry (though I believe the newest version of Veeam may be able to eliminate this extra software), where it is stored for 180 days in a WORM manner. It then automatically gets deleted.

 

We run a full backup weekly, with incremental backups daily. The copy to Azure happens weekly, with a full set of that week's data copied up.

 

The offsite is basically for total DR only. 3 years into doing it this way, we've never had to download something from it (other than to test the backups work).

 

We store roughly 60TB at the moment, but it has been up to 110TB before.

 

EDIT: Obviously this is not as robust as a continual offsite backup.

Out of interest how come there is an increase of £142 per month between the indicative price cost of 20TB (£460/M) and 21TB (£602/M) as shown on the tool on the website?

Interesting, the £142 per month difference between 20TB and 21TB is now only a £2 difference. That might not be correct either, but it certainly seems more likely than £142. Cheers. :)

For some schools that are mostly G Suite users, or mostly M365 Cloud based users, or similar, be it Azure, G Cloud or other, they feel they don't need to take additional backup steps. They effectively rely entirely on their cloud application/storage provider to manage risk of data loss. I know from other threads that some here take this approach, whilst others take additional backups on top. From a strategic perspective, what's MyCloud Backup view on this. In particular, do you have real world examples where such a cloud based school has regretted not having additional security, or indeed ones that have been saved because they did!

Go and ask MS or Google to recover a single deleted file for you, and I think you'll have the answer to that question!

We run a very similar model to @localzuk and it is something I intend to review in the coming year, as our VEEAM licence expires and we're moving to 365 so our storage and backup needs are changing. Can you PM me and we'll talk...

I can only comment on G Suite, but I'm not sure it does fully. The school I was Data Manager at did not backup data that was in the cloud. I don't recall anyone asking for a deleted file to be recovered that couldn't be in the 5 years I was there. Items are recoverable for 30 days once they come out of trash, which as it stays in trash for up to 25 days, that's mostly 55 days. Now, I'm sure in time someone will want a file from further back than that, but retaining all the data for that possibility is costly. It's a business decision to judge whether it's worth the cost - and this school decided it's not worth the cost. In truth, the issue with G Suite was people keeping stuff forever, not deleting it! However, the recovering deleted files is just a minor part of the picture. Why do we take backups? A big factor would be in case of disaster recovery, be it fire or lets say ransomware. for physical risk, the view was Google can take care of that. For the ransomware scenario, that's a much tougher call. How far back and how often to take backups is a tough one to judge. I would still like to hear the view from My Cloud Backup as they must have had similar conversations with schools.

There are limitations with all SaaS providers their focus is on infrastructure - ensuring uptime, availability, basic retention as well as physical and logical security, while the data owner is responsible for data security, privacy, compliance and recovery. As mentioned above the major SaaS providers provide basic replication and recycle bin features for limited short time data loss recovery.

Data loss and security breaches are the major concern for SaaS users, O365 for example is no exception to security breaches, it is vulnerable to internal threats i.e. accidental deletion of data, actions by disgruntled staff, as well as malware or ransomware. The general opinion is that almost 70% of organisations suffer some form of cyber security breach each year, and almost 50% of organisations have suffered from an unrecoverable data event in the past three years. We can definitely confirm that this is case especially within private sector organisations. In terms of general data loss, we haven't seen a major data loss event from any of the major SaaS providers as yet, the reality is that this can happen; when this does happen as it surely will, you need to be in a position to recover your mailboxes and data.

Compliance/GDPR is another concern for SaaS users and understanding the responsibilities schools have in relation to the data that they hold and how long they should hold it for, this we believe, along with cyber security will be the main reasons schools should look to have a robust backup solution in place as part of their data security, compliance and organisational continuity plan. Access to mailboxes and data after staff have moved on from organisations will become critical to satisfy any personal data requests as well as having another copy of your data rather than a single copy held by an individual SaaS provider ensures you can avoid SaaS lock-in.

 

Our Cloud Backup solution protects physical and virtual workloads on premise as well as SaaS (0365), we generally provide daily backups with 14 incrementals (restore) points, monthly and annual backups can also be provided. The case for backing up on premise systems is well understood whereas why you should be backing up SaaS products such as 0365 is still causing confusion Compliance, cyber security and the risk of data loss is why in our opinion it is critical to protect your SaaS data.
