Google Classroom - Meet recording owned by someone else

Hi all,

 

We seem to be having an issue with google meets, whenever we record a meet, the recording is then owned by whoever is first into the meet, rather then the owner of the classroom. Even though that person hasn't select to record the meet.

Had this loads this week things I have tried that have kind of stopped it;

 

- turned off recording ability for students

- turned off recording for any teaching assistants or admin staff that don't need it

- the above cut down on a few but it was still happening. Asked the teacher to reset the meeting link code 4 times in a row this has solved it so far today...none reported.

We are not recording Classroom Meets yet, but just trying to understand this in case we get to that point...

 

How is the teacher not the first person in the meeting?

 

Are you saying that although you have turned off the ability for pupils to create or record they can still get to be the owner of the recording if they are first to join the meeting?

 

All my research so far suggests that what you have done should work:

 

"The issue you describe is usually due to your IT dept (the domain admin) having given students the same permissions to create Meets as the Teachers. This means if they enter a 'nicknamed' or 'classroom' created Meet before the teacher, the first person entering will 'own' the Meet, and be able to mute and remove others, and accept requests to join from those outside of your domain. They will also own the recording.

 

In the Meet settings, the admin needs to switch off the ability of students to create/start video calls. If the students are in a separate Organisational Unit to the students, this should be fairly easy for them to do. "

 

In our settings for the student OU we have 'Recording - Let people record their meetings' and 'Video calling - Let users place video and voice calls' disabled.

 

but if it can still somehow happen...

 

Meanwhile, one 'workaround' to prevent students from owning a Meet, is to not use the Classroom link, but to only paste it as announcement in the Classroom, once you have already opened the Meet.

The Meet is actually only created when the link is used, and the creator becomes the owner, they don't need to even enter/join the meet ahead of the teacher.

You can lock the setting down in the Google Admin console for students and it depends on how Meets are started to who is the owner of the Meet. Nicknames and from Google Classroom are the best as they don't allow the students to gain access until the teacher is in there. Otherwise the first person in is the host and owns the recordings.

There is also an option in the host Meet settings to force users to ask to enter, when set it will be remembered for all other meetings.

I just tested this from Classroom and under my test pupil account was able to go in before the teacher.

Were you using the URL or the nickname and going to meet.google.com and entering the nickname?

Yes, my understanding is you have to use the nickname and direct them to meet.google.com to type it/paste it in and join.

Actually no that seems to have changed now, the URL Classroom uses is the nickname.

Removing quick access does the job and means everyone needs to request access, just don't think it's an admin controlled setting unfortunately.

Are your students able to create their own Meets @TwistedHelixis ?

 

If not they shouldn't be able to join a Meet from the Classroom link without a teacher being already present in the Meet.

I've just tested and even with Quick Access set to on as my default I can only get in the Meet with a student account if my teacher account is active in the Meet, if I'm not the link won't let them in.

Do get back on this - getting all the settings right and instructions to staff is really beneficial but also quite difficult - I'd be pleased to know if you get sorted
