Hi All,

 

I have been asked to audit the skills of the admin staff across a range of software (Word, Excel etc) and was wondering whether anyone had done this before and how they went about doing this.

 

This audit is purely to determine if admin staff need to be skilled up and, if so, I am to look into training options. SLT member in charge of IT has asked to do this and has nothing to do with redundancies. If anything we are expanding. I am to look at options along with the office manager. Admin staff are aware that this will be happening.

 

Are there any prebuilt software/online tasks that can aid with this?

When we did this, we started with a user survey - well, after we'd worked out what capabilities they needed for their job role [emoji57]. Obviously everyone should have a basic level of competence in office, but there will be plenty of admin staff who never need PowerPoint at all, never mind to a level they'd need a course for.

Each staff member will have different needs so you will probably have to see them individually.

 

I did a survey but almost all the replies were that it wasn't needed for job role.

 

In the end I found some Office guides and edited them to fit the school's use.

 

I also went to the less computer savvy staff and went through bits with them.

 

You may also find that they dont know if they need to know how to do something extra if they have never done it before.

a friend of mine used to train MS Office products, at the end of part of the course in Excel, a lady started crying: he asked what was wrong, and she said part of her weekly jobs was to do some reporting, which takes most of the afternoon, and could result in her staying late - he had just shown the class how to do whatever she was doing in minutes rather than hours :(

Sometimes just observing staff work can throw things up, I was with someone last week that didn't know you could print all sheets in an excel document in one go and through you had to do one at a time.

 

ECDL is a good place to start, also mail merge if they didn't know about it already.

 

Also some basic formula in excel such as lookup and SUM/COUNT.

We did a survey once, google form

 

"Word: I know how to change the page"

"Excel: I know how to use SUM"

 

about 100 questions, then we grouped by skill and what they needed to learn and did lessons.

Hi,

 

I work for a training company and we do this all the time.

 

If you want some simple already built questionnaires for each of the office core products, I'm happy to email them over......You will be surprised at the results :)

 

Hopefully it will save you a load of time!
