How do you work out your Full Time Equivalents for your Microsoft OVSES Annual Renewal ?

That's the american version unless it's changed.

 

The UK does it simple "The simplicity of counting Full Time Equivalent (FTE) employees just once per year. In the UK an FTE is someone who works 200+ hours per year." (Basically everyone unless they're very slacky )

I'm trying to do the same, there are a couple of calculations out there. Our last provider said don't include cleaners/kitchen staff/TA who don't have a desk or laptop.

You only count people who actually use the IT provision. It isn’t about physical hardware. Cleaners probably not, cooks maybe not, TAs almost certainly do.

We exclude cleaners and kitchen staff, but TAs are included in our calculation as they have regular access to computers (even though they don't have one allocated to then individually). We also base it on >200 hours = FTE.

The terminology regarding people like TAs is:

 

“Non-teaching staff whose role requires only infrequent use of the Qualified Desktops

would be permitted to access the Qualified Desktops and run the licensed software for

the purpose of administration. Administration includes the use of the school management

information system, the school virtual learning environment, the school email system and

or the school intranet/internet access systems.

 

Infrequent use is defined as less than 20% of that person’s time requiring use of the

technology on a shared device which is not assigned to them. For the avoidance of

doubt, non-teaching staff using an assigned device (i.e. a device specifically allocated to

an identified member of staff and not licensed under other arrangements) will need to be

counted if they are to run the licensed software.”

 

TAs don't spend more than 20% of their time on a PC, so they aren't included.

Yes, that's why we don't include. Knew I'd read it somewhere. Made a massive saving last year!

Also be careful because it depends on what you're licensing. We're licensing our usual Core CAL pack/Windows/Office/whatever on the FTE (200 hrs with use of a computer) whereas when looking at products like InTune it seems to be all staff.
