Sending video evidence to exam boards etc

Hi a quick question on how you all send video evidence to exam boards e.g PE and Drama videos ?

 

I used to use DVDfab to actually encode the disk as a DVD Video playable in all DVD players, but I am wondering if that is a bit over the top and if the exam boards might actually just prefer the MP4 on a DVD (so they can copy/paste it etc?)

I believe that the board has confirmed to us that they want MP4s. We have not heard how we are getting them to the board yet but we are, apparently, considering using USB pens and the post/couriers.

At the moment we are still burning to DVD using ConvertXtoDVD software. It would be great if the exam boards accepted MP4 files but when we queried this with Edexcel two years ago they still wanted DVD playable discs.

Still doing DVDs using the nice simple (and widely compatible) Windows DVD Maker in Windows 7. Sadly missed in later versions

We've done a USB pen and delivered by recorded post for the past two years for PE E&A/EPIP without issue.

Just checked and this years A2 PE folder is currently 46Gb in size and will be finalised and sent on Monday...

Apologies for the thread revival!

 

It seems as though exam boards handle data in a variety of ways; some allow files to be uploaded directly via FTP, whereas others want data on a USB/DVD not encrypted and with no password set. My issue is with the latter. I've asked the Exams Officer to confirm whether this is indeed correct. I feel a bit uncomfortable sending student videos (with student names!) on a USB stick, in the post, without password/encryption!

 

Do you password protect or encrypt USB sticks? I know exam boards can be a bit behind the times, but they must be reviewing their data handling procedures, what with GDPR less than a month away.

yeah just to update we have been sending the raw MP4's straight from cam, with the appropriate filename/candidate info, on either a USB stick or stack of DVD's. our EO/DM is loathe to give away USB sticks so we tend to send out stacks of DVD's.

ours are unencrypted too. it's a very good point actually, I was going to ask our EO but he is busy.

perhaps the exam boards don't have the organisational capacity to co-ordinate receiving a USB stick via post, password via e-mail, and combining the two?

That's basically what our EO said - The exam boards do not want the hassle of receiving USB sticks, to then have to find the relevant e-mail containing a password! To be honest, I'm surprised that more exam boards do not offer uploading to an FTP site with dedicated folders for their respective schools. It would much easier/cheaper/secure!

 

I wonder if the exam boards are GDPR compliant?

The exam boards aren't even DPA compliant, let alone GDPR!

It's an interesting one as sending a video off unencrypted with the pupil reading their own name and candidate number is a possible data breech, so the school should refuse to do it.

 

So are we going to refuse to do it From May onwards guys and gals???

Works on Windows 10, download Windows essentials, just install the Phoho Gallery and Movie Maker option

We send ours as MP4's on encrypted password protected USB pen drives using a special courier and the passwords are sent separately in and e-mail for the different numbered drives...

 

We do ask for them to be returned but whether or not this happens I cannot say as its the exams officer who deals with this....

I had a little tiff with the English HOD when I realised they were going to send these unencrypted via post. Bought encrypted USBs that are password protected and posted the password separately with an idiots guide on how to access the files. Our Exams officer spoke to the exams board and informed them of what we were doing.

 

I'll be GDPR compliant, if the exam boards aren't then I'll report them to the ICO and let them have the conversation with them
