Hi All

 

I'm the administrator for our G Suite and I'm trying to establish where notifications are going. When users try and access items they don't have permission for, they can request it and then get a message that the administrator has been notified. I presume that it's supposed to email the admin, but since we're not using GMail, it either doesn't get sent or doesn't arrive. If I log in to the admin console, there is a bell icon which is for admin notifications, however these only seem to be messages from Google, not users.

 

We don't use GMail (our email is provided by the LA). If the notification is an email to my gmail account, can I redirect it from G Suite? And is this also something I could do for all users (when users make changes to file sharing permissions there is an option to notify the person who you've shared with, but this emails the GMail account which our staff don't have access to)?

 

Our email accounts are in the format: Name = Mickey Mouse > [email protected] and our G Suite accounts are in the format [email protected]

 

We use Groupcall SSO to provision and login to G Suite.

The email will go to the owner of the document.

 

Emails should still go to your usual email account (not gsuite email) as this will be controlled by your MX Records on your external DNS provider.

Does that rely on signing in to Google Suite with the usual email address?

 

Trying to work out how it links up as currently G Suite doesn't have any record of our email addresses.

 

And would I have to set up Gmail/email in the admin console first?

I'm not too sure on this as we've always been fully google. Are you signing in to google with your school email addresses?

 

The school email address will just act as a username if you haven't setup your external dns to go to gmail.

We're not using our school email addresses to sign in to Google Suite - the pupils don't have an email address, so it would exclude them. My earlier post didn't give the full detail for our SSO system, which might make things even more complex:

 

Users sign in to Groupcall and they are then automatically signed in to Google (and the web services we use). Their Groupcall account is automatically created when I provision the account on AD and the Google account is automatically provisioned by Groupcall. The user name for Groupcall and Google is the same, but users can't sign in to Google directly - they're redirected to the Groupcall page for authentication.

 

When I set up Google Suite, I did set up a CNAME DNS entry for mail from the domain we use, set to: ghs.googlehosted.com. This is the same as docs, calendar and www which all work. I've tried logging in to mail.google.com with my school account and get a "sorry but you don't have access to Email" message (as I'd expect). It looks like I can only choose to let everyone or no one use gmail as the option is to enable for Organizations not Groups.

 

What I'd like to achieve is that no one uses gmail, but for staff, G Suite sends notifications to their school email address. A half-way house which would probably work would be for staff only to have gmail and anything sent to their gmail address forwarded to their school email.

I'm ignoring the whole of the rest of this thread, but in terms of this request, it's perfectly doable.

 

We don't use gmail for any of our GSuite users, but every user has their school email address on their GSuite account. (I'm pretty sure every user has to have an email address, so even though you say Groupcall logs them in with their username only, I reckon their GSuite account has an email address).

 

In Mail setup on GSuite, we have all mail set to go to our MX record for our on premise Exchange account, so any sharing notification etc is sent to their in-school email account, not their GMail account.

Sounds sensible. They definitely do have Google email addresses - it's their Google Suite user name. I just haven't enabled mail (deliberately). I'll start by adding an mx record.

If you change your MX record it will redirect all your email to Gmail which you said you don't want. Are your users google email addresses their school email address? Or is their google email address different (meaning they have 2 email addresses where 1 is just acting as a username to sign into google?)

 

If the google email address is different, you can setup the MX record for this so it doesn't affect your school email but that would mean they'll have to check 2 lots of email. 1 Just for google notifications.

I'll have to have a look at this - my main driver is that I'm missing admin notifications (would be good if they went to the message area in the admin console....) It would be handy if they could see notifications when someone shared something with them, but it kind of misses the point if they have to login to a separate system - they'll see when they access drive that there's something new. I really want anyone to start using it as their school email.

Thats not what I said (that OP is responding to).

 

I said if you log into GSuite admin console, you can add an MX record setting that makes GSuite send email out of the GSuite ecosystem then via existing MX records to OPs existing mail servers.

Have a similar setup - mail email domain1.org.uk emails are in Office365 and setup GSFE with domain2.org.uk accounts. Set up routing in GSFE to send all mail to external Office365 and then added the domain2.org.uk as an alias in O365. Bit of a faf but works.

 

The more GSFE is used though the more you realise having your email outside of GSFE is just a headache. For example the above works fine for individual notifications but not for group unless the GSFE group exists in O365. Then there is Google Calendars...
